About the RoleThe Payroll and Benefits Manager is responsible for managing and overseeing the organization's payroll processing and employee benefits programs and ensuring the functions operate with accuracy, reliability, and efficiency.
This position will be on-site in the Indianapolis, IN office
. This role ensures timely and accurate payroll administration while maintaining compliance with relevant laws and regulations. The position will manage and facilitate benefits programs, ongoing enrollment, and other benefit related duties all while promoting a positive employee experience. Provides tactical and strategic input to the current and future state of the Payroll and Benefits to ensure ongoing best practices.
- Process Payroll:
Execute the end-to-end processing and reconciliation of bi-weekly payrolls (e.g., US and Canada) in ADP for employees, ensuring all hours, wages, deductions, reimbursements, and with holdings are entered and calculated correctly, including accruals (vacation, sick days) timekeeping systems. - Data Integrity:
Verify all payroll-related data, including new hires, terminations, rate changes, and benefits deductions. Partner with Finance to ensure accurate General Ledger mapping. - Timesheets:
Work with Indianapolis based Managers to ensure timely and accurate reporting of hours worked within the timekeeping system in order to effectively process payroll. - Ensure complete compliance with all payroll tax laws, including federal, multi-state, and local withholding, unemployment, and employer tax obligations.
- Oversee employee benefits programs, including health insurance, 401k retirement plan, wellness initiatives, EAP, and other offerings.
- Maintain and update employee records, including payroll changes and benefits enrollments in ADP. Play key role in annual benefits open enrollment process.
- Audit Support:
Prepare detailed reports and documentation to support internal, external audits (e.g., 401(k) audits, workers’ compensation audits). - Own and manage relationships with payroll vendor, service providers, payroll technology partners, benefit providers, and Brokers.
- Process Improvement:
Identify, recommend, and implement improvements to payroll processes and system workflows to enhance efficiency and minimize risk and manual intervention, particularly in support of the scaling organization. - Customer Service:
Serve as a subject matter expert, resolving complex payroll, tax, and system queries from employees in a timely and professional manner. - Partner with Finance to verify that all payroll-related accounts are reconciled properly, and that all payments are reflected accurately on each employee’s record.
- Work closely with P&C leadership and finance teams to align compensation and benefits strategies with overall company goals.
- Works cooperatively as a team member with co‑workers in all departments of the company maintains excellent working relationship with co‑workers, clients and employees.
- 7–10+ years of progressive experience in processing payroll, employee benefits administration, preferably with ADP payroll systems in US and Canada.
- Demonstrated experience with U.S. multi-state and Canadian provincial tax compliance and payroll tax functions.
- Strong organizational skills to manage multiple tasks, attention to detail, accuracy and meet deadlines.
