Job Description

As the
Staffing & Training Specialist
, you will play a pivotal role in supporting the people who power Notre Dame. As part of the University Operations, Events, and Safety (UOES) division, you will work in close collaboration with Human Resources (NDHR) and departmental leaders to enhance hiring, onboarding, and ongoing training administration and compliance. Your contributions will support a variety of units, including Hospitality and Catering, Residential Dining, Retail Dining, and University Operations and Safety.

Key Responsibilities

Recruitment and Staffing Support

  • Support hiring for non-exempt roles, including temporary, part-time, and full-time positions.
  • Serve as the primary contact for student hiring, managing the full recruitment cycle from application to onboarding.
  • Assess staffing needs to ensure operational requirements are met across units.
  • Collaborate with the Talent Acquisition team to streamline hiring processes while ensuring compliance.
  • Support the development of internal talent pipelines and career growth opportunities.
  • Assist unit leaders in implementing a talent-sharing labor pool to meet fluctuating workforce demands.
  • Maintain accurate recruitment documentation, including job postings, interview notes, and hiring reports.

Onboarding & Employee Engagement

  • Partner to enhance and execute aUOES-specific onboarding program to complement the University’s existing onboarding plan, including orientation sessions and training video presentations.
  • Facilitate orientations to ensure new employees feel welcomed and aligned with UOES’s mission and values.
  • Assist in planning and executing employee engagement initiatives that enhance connection and satisfaction.

Training Administration and Compliance

  • Maintain a comprehensive training database to track compliance and certifications (e.g., safety, sanitation, specialized certifications).
  • Coordinate and monitor compliance-related training sessions in collaboration with department managers.
  • Schedule and track department-specific training requirements such as culinary, service, and safety programs.
  • Administer and maintain learning and training dashboards.
  • Ensure training compliance by maintaining individual training logs, job flows, and duty lists.
  • Partner withNDHRto execute and leverage existing programs specific to the needs ofUOESstaff

  • This is a new role that is expected to evolve based on business needs. The ability to adapt and take on additional responsibilities as required is essential.

Qualifications

Education

  • High school diploma or equivalent.
  • 1-2 years experience

Skills and Competencies

  • Strong interpersonal skills with the ability to build rapport and foster an inclusive onboarding and training environment.
  • Adaptability to evolving responsibilities and comfort engaging with employees and managers across diverse units and locations.
  • Proficiency with data analysis tools and HR software related to recruitment, onboarding, and training.
Additional Information

Annual Salary: Up to $60,000, Commensurate with experience
