Oxford Financial Group is hiring a Chief of Staff to support a private client. The Chief of Staff will be an associate of Oxford, however, the specific responsibilities and ongoing assignment for this position will be determined at the discretion of the client. Family is located in Indianapolis, IN.
POSITION SUMMARYThe Chief of Staff is responsible for overseeing all aspects of household operations and administration for a private family. The Chief of Staff ensures seamless functioning across a range of responsibilities, including staff management, vendor coordination, property upkeep and overall household efficiency. Success in this position requires operational excellence, high discretion and executive-level coordination across household staff, vendors, and family business interests.
Flexibility is essential; work may include evenings, weekends, holidays and overtime as needed.
Leadership & Oversight
- Oversee day-to-day household operations, ensuring a clean, organized and welcoming environment
- Coordination and oversight of the logistics regarding family members activities (travel, extracurriculars and social events)
- Identify, evaluate and secure premium vacation destinations tailored to the family's preferences and requirements.
- Oversee comprehensive rental setup, ensuring all details align with the family's standards prior to their arrival
- Manage household staff, including hiring, scheduling, training, and performance oversight
- Coordinate and supervise vendors (housekeepers, maintenance, landscapers, caterers, etc.)
- Develop and implement household systems, schedules, and protocols for efficiency
- Oversee property maintenance schedules and improvement projects
- Manage household inventories (supplies, pantry, linens), ensuring timely replenishment
- Plan and execute events, gatherings, or special projects as requested
- Responsible for out-of-state property regarding maintenance and upkeep maintained at the family's standards. On-site inspections, as needed. Out of state property has an onsite property manager
- Create and implement standard operating procedures and household manuals
- Maintain discretion and confidentiality at all times
Administration & Reporting
- Establish efficient communication and reporting protocols with client
- Proven experience managing a private household or estate: family office, hospitality, or private estate management preferred
- Exceptional leadership, problem-solving and interpersonal skills
- Proven ability to manage teams and complex schedules
- Proficiency in household management systems and software
- Impeccable discretion and professional integrity
- Full-time, in-person position; flexibility is essential; work may include evenings, weekends, holidays and overtime as needed
- Ability to adapt to changing priorities and anticipate needs proactively
- Ability to travel and have current passport
