Allies Commercial Realty is looking for an experienced Commercial Real Estate Operations & Brokerage Coordinator to join our growing team.

This is a unique, cross-functional position designed for someone who already understands the commercial real estate industry and enjoys being at the center of a fast-moving brokerage operation.

We are looking for a “Swiss Army knife”: someone who understands real estate transactions, can help keep brokers and deals organized, is comfortable coordinating across multiple teams, and can step into operational, sales support, and marketing-related projects as needed.

This person will work closely with the owners of Allies Commercial Realty and serve as an important connection point between our brokers, operations, marketing, and international support team.

Required Qualifications Commercial real estate experience is required for this position.
  • Have professional experience in commercial real estate or a closely related real estate industry
  • Understand the basic lifecycle of a commercial real estate transaction
  • Be comfortable working with brokers, clients, contracts, deadlines, and transaction documentation
  • Have strong organizational and project-management skills
  • Be comfortable managing multiple priorities simultaneously
  • Possess strong written and verbal communication skills
  • Be proficient with technology and comfortable learning new systems
  • Assist brokers throughout the lifecycle of commercial real estate transactions
  • Track active deals, deadlines, documentation, and outstanding items
  • Coordinate transaction information between brokers, clients, attorneys, title companies, lenders, property owners, and other parties as needed
  • Assist with the preparation and coordination of LOIs, listing agreements, commission agreements, purchase agreements, leases, amendments, and other transaction documentation
  • Help coordinate due diligence and closing-related activities
  • Maintain organized transaction files and documentation
  • Assist with commission tracking and closing information
  • Help manage broker pipelines, activities, priorities, and follow-ups
  • Maintain accurate information within the company’s CRM
  • Help ensure leads and opportunities are properly entered, assigned, and followed through
  • Prepare or coordinate proposals, presentations, reports, property information, and other client-facing materials
  • Follow up with brokers regarding outstanding information, deadlines, and action items
  • Help leadership implement and maintain brokerage processes and procedures
  • Identify missing information, bottlenecks, and incomplete tasks before they become problems
  • Help improve CRM adoption, data quality, and internal workflows
  • Coordinate broker meetings, agendas, action items, and follow-ups
  • Help track brokerage activity and performance information
  • Assist with onboarding and supporting brokers
  • Coordinate between brokers and internal support resources
  • Help leadership create greater consistency and accountability across the brokerage team
  • Coordinate projects between our Indianapolis team and international support team
  • Translate leadership priorities into clear tasks, owners, and deadlines
  • Follow up on outstanding projects and deliverables
  • Help coordinate internal systems and processes
  • Assist with company projects that cross brokerage, operations, and marketing
  • Step in where needed when something falls between departments
  • Understand how commercial real estate brokers work
  • Naturally keep track of details and deadlines
  • Are comfortable following up with people, repeatedly when necessary
  • Can respectfully hold people accountable
  • Anticipate what needs to happen next rather than waiting for instructions
  • Are comfortable communicating directly with brokers and company leadership
