Overview
Position is responsible for ordering, receiving, stocking, and issuing all inventory and related parts room duties for the City of Indianapolis fleet, ranging from small engines to heavy equipment.
Responsibilities- Receive, identify, unpack, store, and issue parts (stock and non‑stock), equipment, and materials.
- Label new stock upon arrival and re‑label stock with replacement numbers provided by vendors.
- Work counter for technicians, ensuring all forms are complete with correct information.
- Prepare paperwork for group leaders or foreman regarding special‑ordered parts.
- Run reports from the computerized inventory management system as directed by management.
- Use City of Indianapolis finance system to acquire purchase orders and use the in‑house fleet system (IFS) to update inventory.
- Contact vendors for quotes and place orders by phone or online.
- Lookup parts for repair on computerized systems and parts books.
- Assist in physical inventory, spot checks, and count stock items.
- Charge out stock and non‑stock items to correct work orders, units, departments, or indirect accounts.
- Create hoses for equipment repairs as needed.
- Take call orders from road‑service technicians and operate office equipment (fax, copier, scanner, label maker, calculator, engraver).
- File purchase orders and invoices, complete financial system receipts, and assist in payment tasks.
- Handle drums of chemicals and other hazardous materials safely, including disposal via designated vendors.
- Order and disburse oxygen and acetylene tanks for shop use and road service.
- Update computerized parts lookup systems and assist all departments with parts room needs.
- Receive UPS/Fed Ex deliveries for all IFS areas at the facility.
- Perform any and all stockroom functions, including operating a supply vehicle to pick up supplies and repair parts.
- Proficiency with automotive, heavy‑duty, and fleet vehicle parts.
- Valid forklift license per OSHA standards and ability to maintain it.
- Computer experience: menu‑driven and online systems for inventory and ordering.
- Knowledge of shipping, receiving, safety precautions, and handling of petroleum products.
- Physical ability to pull, push, reach above shoulder height, walk, stand, bend repeatedly, lift and carry up to 50 lbs., and move 55‑lb. gas drums with moving equipment.
- Valid driver’s license.
- Must pass a pre‑employment physical test.
- May be required to work overtime.
Work is performed in a maintenance facility, primarily in a storeroom environment with travel to retail and road‑service locations. Exposure to dust, silica, electrical energy, solvents, and vibrations is common. Work may be performed on slippery or uneven surfaces, around operating machinery, on ladders or scaffolding, and with hands in water or wet materials. The incumbent may work alone or in teams as needed.
