JOB TITLE: School Secretary (Principal/Registrar)

FLSA CLASSIFICATION: Non-exempt, hourly employee.

WORK DAYS: 200 days (including paid holidays).

STANDARD HOURS PER DAY: The standard hours for the School Secretary are 8 hours per day depending on the assignment.

WORK YEAR: The School Secretary (Principal/Registrar) is generally employed for 200 days (including paid holidays).

SALARY SCHEDULE & BENEFITS: The School Secretary (Principal/Registrar) is paid on the "Secretaries" Salary Schedule, Level 3, and is eligible for benefits schedule on the first of the month following 60 days of employment.

REPORTS TO: The School Secretary reports to the Principal or other designated building administrator.

SUPERVISES: The School Secretary (Principal/Registrar) does not supervise any other employee(s).

GENERAL SUMMARY OF DUTIES:

Under direct supervision, the School Secretary (Principal/Registrar) performs clerical duties registering and withdrawing students to and from school. The person in this position is also responsible for grade level enrolling, withdrawing, supporting building-wide Synergy and attendance needs. Duties are generally clerical/secretarial related.

ESSENTIAL FUNCTIONS:
  • Provides a high level of support to administrators they support.
  • Meets with and registers new students and families for the school.
  • Inputs student information into the Student Information System and State of Indiana portals to compile student records.
  • Meets with parents and students to prepare paperwork to withdraw students from school.
  • Maintains and updates current immunization records in the computer and permanent file.
  • Prepares ADM reports accounting for every student and their schedule. This may involve distributing printouts to and from teachers and administrators in order to keep computer files accurate for ADM.
  • Assists administrators and counselors with record-keeping functions associated with academic records.
  • Maintains a filing system for attendance records and general school files.
  • Answers the telephone; takes messages; provides information and assistance to district personnel and the public; relays calls to appropriate personnel.
  • Maintains a professional atmosphere in the main office; greets and assists staff, students, and visitors; answers questions for staff, parents, students, and others.
  • Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.
  • Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, postage machine, or fax.
  • Responsible for keeping up to date on current technology, as job appropriate, being used by the district.
  • With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
  • Responsible for timely and accurate information they maintain as part of their job responsibilities.
  • NON-ESSENTIAL FUNCTIONS:

    While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.

  • ENTRY-LEVEL REQUIREMENTS:

    1. EDUCATION/TRAINING: High school diploma or GED is required;

    2. EXPERIENCE: This is an entry level clerical/secretarial position that requires little or no previous experience or training except the knowledge, skills and abilities to perform the essential job functions.
    * School secretarial experience preferred.

    3. CERTIFICATIONS &/OR LICENSES: None required.

    4. OTHER: Ability to perform the essential functions, meet the performance aptitudes, and fulfill the physical/sensory/environmental requirements of the job (with or without reasonable accommodations) is required.
