Service Operations Coordinator

The Service Operations Coordinator assists with analysis processes for potential customers. Ensures completeness and accuracy of data used by Service Operations Programs to execute operational service strategies at newly onboarded business. Executes targeted processes to drive operational efficiencies, speed transition to recommended service strategies, and improve first year business performance while preparing new business for transition to base business operations. Provides back-up support for service contract processes as needed.

Location:

Indianapolis, Indiana; candidates must currently reside in the central Indiana region within a 70 mile radius. Our CO - Central (Corporate) Office - is located on the northwest side of Indianapolis. This position is Hybrid (a mix of remote & in-office).

Responsibilities

New Business Optimization (70%)

  • Support service strategy analysis of service contracts from potential new business for inclusion in business proforma.
  • Review service contracts to validate data entered during onboarding and reconciliation processes.
  • Coordinate with Field Operations and Original Equipment Manufacturers to collect and/or correct equipment inventory data and service contract details documented in various business systems.
  • Collaborate with Service Strategy Consultants and Operations Strategy Specialists on the migration of new customer service contracts to TRIMEDX master agreements.
  • Support development of operational improvement plans.

Service Contract Processes (20%)

  • Track newly executed service contracts to ensure receipt of countersigned/fully executed service contract documentation.
  • Coordinate with Service Strategy Consultants to support data entry needs for the pro-active service contract program.
  • Assist with review of service contract invoice discrepancies provided by Finance and coordinate with Supplier, Service Strategy Consultant, Field Operations, and Finance on follow-up actions/corrections.
  • Provide back-up support for post-signature processes as needed for new and amended service contracts including:
    • Quality review of Service Contract request data.
    • Purchase Order creation and release to Supplier.
    • Validation of service contract catalog linkage to device records.
    • Extraction and upload of service contract accrual data.

Administrative Support (10%)

  • Plan and organize team meetings and events.
  • Prepare documentation for projects and meetings as needed.
  • Assist in the planning and preparation of regularly scheduled reports.
  • Aid in the research and creation of department presentations.

All other duties as assigned.

Skills and Experience

  • Minimum of at least 2 years of experience in project management, business operations, complex data analysis, or equivalent field is required
  • Knowledge of clinical engineering, medical technology, and/or healthcare support services preferred
  • Strong analytical and problem-solving skills with an acute attention to detail
  • Knowledge of Microsoft Office applications; advanced skills with Excel and Access preferred
  • Familiarity with contractual and financial practices and terminology preferred
  • Creative thinker with the ability to prioritize work and manage time amidst multiple tasks
  • Ability to effectively communicate and collaborate in cross-functional teams
  • Business acumen and the knowledge to understand operations

Education and Qualifications

  • High school diploma or equivalent required. Associates degree or equivalent experience preferred
