CONSTRUCTION PROJECT COORDINATOR

Salary Range: $65,000 - $75,000 per year
Principal Objective of the Position:
The Construction Project Coordinator serves as the system owner for Procore and all project documentation and compliance workflows. This position is responsible for establishing, maintaining, and enforcing consistent standards for project records, subcontractor compliance, safety documentation, and closeout materials across all construction projects.
The Project Coordinator designs and maintains the systems that enable effective project delivery, risk management, and audit-ready documentation. While this role supports field operations and project leadership, Project Managers and Superintendents remain fully accountable for schedule, cost, quality, and field execution. The Coordinator owns the systems and workflows that support performance, not the project outcomes themselves.
QUALIFICATIONS/REQUIREMENTS:
Training/Education
* Bachelors Degree and/or equivalent experience
* 3-5 years of previous experience in construction administration, coordination, or project support
Experience/Skills
* Proficiency in Procore, Microsoft Office, and Bluebeam.
* Strong document control and workflow management skills.
* Ability to manage multiple priorities and deadlines in a fast-paced construction environment.
* Clear written and verbal communication skills.
* Working knowledge of OSHA requirements and construction safety documentation practices.
* Strong organizational skills with attention to detail.
* Ability to train others in systems and procedures.
* Analytical mindset with strong follow-through.
Essential Duties and Responsibilities:
Include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.
Procore System Ownership & Administration
* Own Procore setup, templates, workflows, permissions, and data standards across all projects.
* Provide Procore training and ongoing support to PMs, Superintendents, and project teams.
* Monitor data quality, compliance, and timely use of Procore across active projects.
* Continuously improve documentation workflows and templates.
Project Documentation & Controls
* Manage document control for permits, plans, specifications, RFIs, submittals, contracts, change orders, closeout, and warranty documentation.
* Establish and enforce documentation standards, naming conventions, and filing structures.
* Ensure project records are accurate, current, and audit-ready.
Subcontractor Administration & Compliance
* Maintain subcontractor, vendor, and supplier records in Procore.
* Receive, review, and log subcontractor prequalification documents for compliance with company standards.
* Assemble subcontracts via Procore/Docu Sign and track execution.
* Collect and track required documentation including insurance, bonds, and compliance records.
Safety Documentation & Process Support
* Support creation and maintenance of safety manuals, forms, signage, and toolbox talks.
* Ensure safety documentation is properly uploaded and maintained in Procore.
* Coordinate documentation requirements with third-party safety management partners.
Field & Project Support
* Support site mobilization through document readiness and workflow setup.
* Track RFIs and submittals and support documentation of schedules and coordination records.
* Identify documentation gaps that create risk exposure or compliance issues.
Standards, Process Improvement & Coordination
* Develop and maintain written standards, checklists, and workflows.
* Serve as liaison between Construction, Development, and Management teams for documentation and compliance workflows.
* Identify breakdowns in documentation flow and system usage and recommend improvements.
Dress Code:
Appropriate professional attire for office and jobsite environments, including required personal protective equipment (PPE) as designated by OSHA and company policy.
Contacts and Liaisons:
The Construction Project Coordinator will regularly coordinate with Project Managers, Superintendents, Development and Management staff, Safety partners, subcontractors, vendors, suppliers, inspectors, consultants, and other stakeholders as required to support documentation, compliance, and system workflows.
