Patient Access Representative (Emergency, Outpatient, & Inpatient Services)

Position Overview
The Patient Access Representative is the first point of contact for patients entering the hospital or clinic. This role plays a critical part in delivering an exceptional patient experience by creating a warm, welcoming environment and ensuring accurate registration and insurance verification across multiple hospital service areas.
Team members may be assigned or cross-trained in the Emergency Department, Outpatient/Clinic, or Main Admitting/Inpatient departments.
Emergency Department Responsibilities
The Emergency Department (ED) operates 24 hours a day, 365 days a year, and requires rotating 12‑hour shifts.
Schedule Example
+ Week A:
Monday, Tuesday, half‑day Friday, Saturday, Sunday
+ Week B:
Wednesday, Thursday, half‑day Friday
Key Responsibilities
+ Serve as the first point of contact for patients arriving via walk-in, ambulance, or helicopter.
+ Provide a calm, compassionate, and welcoming environment for patients and families.
+ Support registration at:
+ Front Triage Desk:
Check in walk-in ED patients.
+ Ambulance Bay:
Register patients arriving by ambulance or air transport.
+ ER Floor:
Complete bedside registrations using portable computers.
+ Confirm and update patient demographics and insurance information with a high level of accuracy.
+ Ensure IDs, insurance cards, and consent forms are properly documented in the EMR.
+ Support the self-pay process, offering guidance to uninsured patients.
+ Complete Medicare-required documentation when applicable.
+ Maintain professionalism and empathy in a fast-paced, high-stress environment.
Outpatient / Clinic Responsibilities
+ Provide a warm, professional greeting to all arriving patients.
+ Efficiently locate and verify patient records in the EMR system.
+ Verify and update patient demographic and insurance information.
+ Assist with checkout processes, including:
+ Scheduling follow‑up appointments
+ Charge entry
+ Answer questions regarding lab work, pharmacy services, or radiology procedures.
+ Ensure accuracy, efficiency, and excellent customer service throughout the patient visit.
Main Admitting / Inpatient Responsibilities
+ Welcome and assist patients entering hospital departments such as lab, radiology, surgery, and inpatient units.
+ Locate and verify patient information in the EMR system.
+ Update demographics and insurance coverage with precision.
+ Answer questions regarding lab, pharmacy, radiology, and inpatient processes.
+ Travel to inpatient units to complete bedside registration when necessary.
+ Maintain a patient-centered, compassionate approach in all interactions.
Required
Skills & Qualifications Must Haves
+ 2+ years of work experience (customer service or healthcare preferred)
+ Demonstrated empathy and compassion
+ Genuine passion for helping others
+ Strong technology and computer navigation skills
+ Ability to multitask in a fast-paced environment
+ Excellent communication and customer service abilities
Job Type & Location
This is a Contract position based out of Indianapolis, IN.
Pay and Benefits
The pay range for this position is $16.00 - $16.00/hr.
