Materials Quality Assurance Agent
We have an exciting opportunity for a Materials Quality Assurance Agent to join our team. Your efficiency and attention to detail will allow DHL to make businesses work by delivering cargo on time, every time. This may require heavy lifting at times and/or use of a forklift. This position will be based at our Indianapolis, IN location. You will work during evening hours;
requiring flexibility in schedule to meet the needs of the business.
Role Summary
The Quality Associate supports the site Quality Management System by conducting audits, monitoring compliance, managing quality records, supporting supplier qualification activities, and overseeing inventory control for Life Sciences & Healthcare temperature-controlled products. This role partners with operations, customers, and suppliers to ensure compliance with DHL standards, customer requirements, and applicable regulatory expectations while driving continuous improvement, operational consistency, and product integrity throughout the facility.
Key Responsibilities Conduct routine GEMBA audits to verify compliance with established work instructions, Standard Operating Procedures (SOPs), customer requirements, and DHL operational standards.Monitor warehouse operations to identify process deviations, non-conformances, and execution gaps, and communicate findings to management.Support the site's Quality Management System (QMS) by ensuring adherence to quality policies, procedures, and regulatory requirements.Monitor compliance trends and provide actionable recommendations to improve operational consistency, quality performance, and customer satisfaction.Support corrective and preventive action (CAPA) activities, including root cause investigations, implementation of corrective measures, and effectiveness verification.Maintain accurate audit records, quality reports, training documentation, and compliance records in accordance with DHL and customer requirements.Perform routine observations and compliance reviews to increase visibility of workforce adherence to operational procedures and quality standards.Identify opportunities to improve warehouse training effectiveness and operational execution through audit findings and performance analysis.Collaborate with operations leadership to develop, implement, and sustain continuous improvement initiatives.Support customer audits, internal audits, management reviews, and regulatory inspections by preparing documentation and responding to requests.Review supplier performance and compliance against applicable quality, safety, operational, and customer requirements.Manage inventory control activities for Life Sciences & Healthcare (LSH) temperature-controlled products. Monitor inventory accuracy through cycle counts, reconciliations, inventory audits, and warehouse management system transactions.Investigate inventory discrepancies, stock variances, and transaction errors, and support corrective actions to prevent recurrence.Generate inventory reports and communicate inventory status, trends, and issues to internal stakeholders.Maintain chain-of-custody, traceability, and product integrity requirements for temperature-controlled and regulated products.Support temperature monitoring activities and ensure documentation related to cold chain operations is complete and accurate.Maintain accurate quality, audit, inventory, supplier qualification, and operational records.Analyze quality and operational data to identify trends, risks, and opportunities for improvement.Support customer-specific quality requirements and ensure operational processes align with contractual obligations.Assist in the development, review, revision, and implementation of SOPs, work instructions, and quality documentation.Promote a culture of quality, compliance, safety, and continuous improvement throughout the facility.Perform additional quality assurance, compliance, inventory control, and operational support duties as assigned.Required Qualifications
- 1-3 years of experience in quality assurance, warehouse operations, inventory control, logistics, or supply chain management.
- Knowledge of quality management principles.
- Experience working in a regulated environment such as Life Sciences, Healthcare, Pharmaceutical, or temperature-controlled logistics is preferred.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong analytical, organizational, and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications - Associate's degree or Bachelor's degree in Quality Management, Supply Chain, Logistics, Business, or related field preferred.
- Experience conducting operational audits or GEMBA audits.
- Familiarity with ISO 9001, GDP, GMP, or other quality management standards.
- Knowledge of inventory management systems and warehouse management systems (WMS).
