The Event Setup & Operations Specialist is responsible for supporting meetings, conferences, and campus events by setting up event spaces, moving furniture and equipment, managing inventory, and ensuring facilities are prepared for daily operations. This role also utilizes digital work order systems to manage requests, track assets, and coordinate event setup activities while maintaining a safe and organized environment.
Key Responsibilities- Set up and break down meeting rooms and event spaces according to work orders and room specifications.
- Arrange tables, chairs, staging, signage, linens, equipment, and other event materials.
- Monitor and manage daily event requests using digital work order systems (Service Now or similar).
- Update work orders and document completed setups, including uploading photos when required.
- Submit maintenance requests for damaged equipment, facility issues, or safety concerns.
- Maintain organized, clean, and safe storage areas for furniture, equipment, and event supplies.
- Track, log, and audit furniture, equipment, and inventory using inventory management software.
- Move and distribute inventory, supplies, furniture, and packages throughout the facility.
- Assist with receiving shipments, unloading delivery trucks, and coordinating with vendors.
- Monitor equipment condition and report items requiring repair or replacement.
- Troubleshoot last-minute event changes and coordinate adjustments with internal teams.
- Safely operate moving equipment and material handling equipment as required.
- Participate in team meetings and support additional facility operations as assigned.
- High School Diploma or GED preferred.
- 1–2 years of experience in event setup, facilities, logistics, warehouse operations, or material handling preferred.
- Comfortable using smartphones, tablets, and digital work order systems.
- Experience with inventory management or asset tracking is preferred.
- Ability to lift and move up to 50 lbs. repeatedly.
- Ability to stand, walk, bend, and perform physical work throughout the shift.
- Strong attention to detail with a focus on room presentation and event quality.
- Excellent communication and teamwork skills.
- Ability to prioritize tasks and adapt to changing event schedules.
- Willingness to work flexible hours, including early mornings, evenings, weekends, and overtime as needed.
