Position Summary The Scheduler is a detail-oriented, highly organized professional responsible for creating, managing, and coordinating staff schedules across medical and residential programs. Reporting to the Scheduling Supervisor, this role is essential in ensuring shifts are appropriately staffed to meet patient care needs and operational requirements. The Scheduler will oversee daily scheduling functions, handle real-time adjustments, and communicate effectively with staff while maintaining accurate records to support the efficiency of the scheduling operation.

Roles & Responsibilities
1. Staff Scheduling & Coordination Develop and maintain daily, weekly, and monthly staff schedules to ensure appropriate coverage.

Act as the main point of contact for staff regarding scheduling needs, including processing call-offs, time-off requests, and securing coverage for open shifts.

Clearly and promptly communicate all schedule changes, updates, and shift assignments to staff.

Monitor schedules in real-time to proactively identify and resolve potential staffing gaps.

Ensure compliance with staffing ratios, labor regulations, and company policies under the direction of the Scheduling Supervisor.

Collaborate with program managers and team leads to meet specific staffing requirements.
2. Administrative & System Support Accurately enter, update, and maintain scheduling data in workforce management software.

Assist the Scheduling Supervisor in tracking attendance, overtime, and shift differentials.

Prepare and distribute daily and weekly scheduling reports for management review.

Maintain up-to-date records of employee availability, contact information, and scheduling preferences.#CALI1 #Cali1

Qualifications & Skills

Experience:

Minimum of 1–2 years in scheduling, dispatch, or high-volume administrative coordination. Experience in healthcare or a 24/7 operational environment is highly preferred.

Technical Proficiency:
Skilled in Microsoft Office Suite (Excel, Word) and Google Workspace (Sheets, Docs). Familiarity with scheduling or workforce management software is a strong plus.

Communication:
Excellent verbal and written communication skills, with the ability to deliver clear, concise information to a diverse team.

Attention to Detail:
High degree of accuracy and thoroughness in scheduling and record-keeping.

Problem-Solving:
Strong ability to assess situations quickly, resolve issues, and adapt to last-minute changes in a fast-paced environment.

Organizational

Skills:

Exceptional time management and multitasking abilities, with proven success in managing multiple priorities simultaneously.

Interpersonal

Skills:
