ESS Substitute School Office Manager

Under the supervision and direction of the school administrator, the ESS School Substitute Office Manager performs a wide variety of responsible secretarial and stenographic work. Serves as adequate replacement for absence staff, personal secretarial assistant to the principal, relieving the principal of significant secretarial and clerical details; performs other office management duties as required.

Minimum Qualifications

Education:

  • High school diploma or equivalent
  • Tuberculosis (TB) Test
  • Department of Justice Background Check
  • 3 years of similar or relevant experience

Experience:

Clerical experience involving the use of stenographic skills. One year of experience in a school district is highly desirable.

Duties and Responsibilities
  • Responsibilities of a receptionist, greeting the public, giving correct and accurate information, and interviewing office visitors
  • Typing and routing daily staff absence list
  • Manual operation of the bell system when the regular bell system is not in use
  • Distribution of incoming mail
  • Management of substitute teachers and/or substitute classified employees, upon their arrival at the school site and the distribution of necessary information
  • Supply accurate information regarding the attendance forms and the temporary role sheets
  • Receive telephone calls and disseminate information, ensuring an efficient and smooth operation of the telephone system. Relay accurate information regarding school policies and procedures
  • Schedule appointments, handle cancellations and send out reminders and confirmations of appointments
  • Maintenance and upkeep of an accurate and efficient filing system
  • Maintain the Key File and Emergency Card File
  • Perform other duties as assigned
Employment Standards

Knowledge of:

District policies, procedures, personnel and departmental functions; modern office methods;
Business English, including vocabulary skills; correct grammatical usage and punctuation; modern filing rules, regulations, laws and policies governing a school district.

Ability to:

Take and transcribe with accuracy, using any form of note-taking including but not limited to shorthand, speed writing and or any form of dictated composition, in addition to keyboarding at the rate of 60 words per minute from clear legible copy; perform word processing proficiently; learn specific rules, regulations, laws and policies quickly and apply them with good judgment in a variety of procedural matters without immediate supervision;

make arithmetical calculations with speed and accuracy; compile and maintain accurate and complete records and reports; understand and carry out oral and written directions; meet the public tactfully and courteously.

Personal

Qualifications:

Ability to relate effectively with staff, students, parents and community. Ability to perform a wide variety of responsible and stenographic work of more than average difficulty, exercise initiative, good judgment and flexibility.
