Description:
Job Purpose:
Performs moderately complex clerical and administrative duties with moderate supervision. Coordinates, tracks and reports data, completes projects and supports the effective operation of the work group or department.
Duties/Responsibilities:
- Answers and screens incoming calls to provide information and direct calls to appropriate staff. Requires a thorough knowledge of a department or work groups and an ability to interpret policies, procedure, and practices within the assigned areas.
- Attends and participates in departmental meetings. May organize, provide input, take minutes, and distribute information.
- Organize and plan internal / external meetings.
- Composes and/or prepares correspondence, spreadsheets, and presentations. Proofreads for content and typographical errors and supplies correct spelling, punctuation and grammar as needed.
- Plan and execute event details (food and beverage details, audio visual needs, entertainment, speakers, agenda, air and ground transportation, etc.) for meetings and events.
- Coordinate and schedule customer tours, field days, training sessions, and/or customer events and crop shops.
- Establishes and maintains files, reports, and other hardcopy of computerized information related to departmental operations. Information may be highly confidential.
- Work with external vendor to contract events and financial reporting on events.
- Manage distribution lists
- Maintains and updates calendars for supervisor, departments, and/or building.
- May assist in department budget preparation and with related program expenses.
- Responds to employee inquiries about department or company programs, practices and procedures.
- Help to define/facilitate policies for station (ie; CHT, Clothing requests, Weather, etc)
- Be a champion for ADP timecard program, GrowU training, & I-9 coordinator
- Codes, verifies, and processes credit card expense reports and invoices
- Provide support on asset verification
- May help with setting up interviews for potential job applicants when applicable.
- Support the hiring/onboarding of employees.
- Coordinates and schedules travel and hotel arrangements.
- Manages facility moves, overall issues involving maintenance, janitorial services, vending, and any other work as needed.
- Support RSPL with managing Corrective and Improvement Actions plans
- Processing Competitive product
- Invoices
- Validating the photos
- Saving photos to the LAN
- Assist with contract administration duties, office supply and equipment ordering as well as other purchasing needs.
- Resolve routine and non-routine inquiries.
- Perform other duties as assigned.
- High school diploma (or equivalent) plus additional courses in office administration or computer training.
- At least two to three years of related administrative work experience
- General knowledge and technical skills related to the assigned department or work group
- Knowledge of various computer software and application tools
- Strong interpersonal skills and ability to develop and maintain effective relationships
- Strong oral and written communication skills
- Demonstrated customer service skills
- Demonstrated problem-solving and analytical skills
- Demonstrated computer proficiency including use of spreadsheets or database systems
- Ability to manage multiple tasks and competing priorities
