Position: Assistant to the Director/Dean - Spencer GENERAL JOB SUMMARY:
Location: Estherville

This is a full-time position based on the Spencer Campus. Primary responsibilities are to provide administrative and clerical support to the Business Office, manage front desk operations, answer and direct switchboard calls, process payments and requisitions, and complete a variety of clerical duties. The successful candidate will demonstrate strong organizational skills, attention to detail and a commitment to delivering exceptional customer service.

ESSENTIAL DUTIES & RESPONSIBILITIES (% OF TIME):

Constant (67-100%)

* Front desk duties, answering the switchboard phone. Answering student/parent/staff questions and inquiries.

* Collect student account payments, make bank deposits, dorm fees, and miscellaneous accounts for deposit.

* Requisition and order office supplies for the Spencer campus.

Frequent (34-66%)

* Maintain files and documents necessary to document status of payments and other financial transactions.

* Coordinate scheduling of campus facilities, process room reservation requests, maintain room schedule, and door locks for the Spencer campus.

* Maintain vehicle logs and schedule maintenance as needed.

* Assist Admissions office as needed with computer processing of student information.

* Process time sheets for work study students.

* Keep Dean informed of campus events, incidents, and occurrences affecting the welfare of students and staff.

* Coordinate events or college-wide activities as directed by the Dean or supervisor.

* Assist students in the application process, process applications, send out acceptance letters, and answer admission inquiries and questions.

* Serve as the primary contact in hosting visitors to campus by responding to questions, giving college tours, and providing college information.

Occasional (10-33%)

* Print operational reports as required.

* Campus mail processing.

* Coordinate classroom proctor schedules.

* Assume duties of other employees in their absence as needed.

* Perform additional duties as required by the supervisor.

KNOWLEDGE, SKILLS & ABILITIES:

* Represent the college in a positive manner to prospective, former, and current students, staff, and the community.

* Ability to access, input, and retrieve information from a personal computer.

* Must be enthusiastic and energetic in performance of assigned duties and responsibilities.

* Organization is essential for this position.

* A thorough knowledge of office procedures, telephone etiquette, and basic office equipment, as well as correct English usage, grammar, punctuation, and arithmetic is required.

* Ability to read and understand written and oral communication/instructions.

* Ability to effectively perform tasks in a fast-paced environment with constant interruptions.

* Good problem-solving skills

* Ability to assume responsibility, deal effectively with problems, and exercise good judgment when making decisions.

SPECIAL DEMANDS:

Sedentary to light work. Position involves sitting most of the time. Exerting up to 30 pounds of force occasionally (10-33%). Stooping, kneeling, crouching, pushing, and carrying occasionally (10-33%). Walking, lifting, grasping, and repetitive motion frequently (34-66%). Talking, hearing, viewing, various types of closed visual work constantly (67-100%). Will be required to work move in date. May be required to travel utilizing personal vehicle.

Must have valid driver's license, good driving record, and provide proof of insurance.

Employment with Iowa Lakes Community College is dependent upon successful passage of a criminal background check. Must be legally eligible to work in the United States without employer sponsorship. MINIMUM QUALIFICATIONS:

High School Diploma or equivalency required. A combination of secretarial/clerical experience or post-secondary training in an appropriate area equivalent to three years or an appropriate associate degree preferred.

Salary: $18.55 per hour
