Full-time Positions Administrative Assistant to the Academic Dean - EsthervilleGENERAL
JOB SUMMARY:
This is a full-time position located on the Estherville Campus. Primary responsibility is to assist the Dean in the performance of his/her duties/activities. Organizational skills, initiative, and self-motivation are essential. Position includes coordination and scheduling of meetings for the Dean processing communications to/from the Dean to students, faculty, and staff. Position also includes completing purchase requests for faculty, processing payments and requisitions, and other miscellaneous clerical tasks.
A strong commitment to customer service and student centeredness is essential.

ESSENTIAL DUTIES & RESPONSIBILITIES (% OF TIME):
- Schedule appointments with/for the Dean and maintain calendar, meetings, phone calls, etc.
- Process time sheets, requisitions, leave forms, and other forms or reports submitted to the Dean’s Office.
- In the Dean’s absence, assist faculty, staff, and visitors in resolving problems or answer inquiries.
- Process and maintain budget requests and reports using the College software system.
- Keep the Dean informed of Campus events, incidents or occurrences affecting the welfare of students or staff.
- Maintain files and documents.
Frequent (34-66%)
- Prepare agendas, attend meetings, take minutes, and distribute accordingly as directed by the Dean.
- Coordinate scheduling of meetings and other events hosted by Dean.
- Review and verify monthly mileage and expense reimbursements.
- Assume duties of other office personnel in their absence as needed.
Occasional (10-33%)
- Print operational reports as requested.
- Coordinate travel arrangements for the Dean.
- Work with faculty on contract calendar and semester schedule completion.
- Assist Records office and Dean with course schedule preparation.
- Coordinate special events or college-wide activities as directed by Dean.
- Perform additional duties as requested by the Dean.
KNOWLEDGE, SKILLS & ABILITIES:
- Represent the college in a positive manner to prospective, former, and current students, staff, and the community.
- Ability to access, input, and retrieve information from a computer.
- Must be enthusiastic and energetic in performance of assigned duties and responsibilities.
- Ability to effectively perform tasks in a fast-paced environment with constant interruptions and adapt as needed.
- Organization is essential for this position.
- Ability to read and understand written and oral communication/instructions.
- Ability to take initiative and work independently.
- Ability to assume responsibility, deal effectively with problems, and exercise good judgment when making decisions.
- A thorough knowledge of office procedures, telephone etiquette, and basic office equipment, as well as correct English usage, grammar, punctuation, and arithmetic is required.
SPECIAL DEMANDS:
Sedentary to light work. May be required to travel utilizing personal vehicle. Must have valid driver’s license, good driving record, and provide proof of insurance.
