Job Summary

Admissions and Disposition Clerk provides administrative and patient support services within a military medical treatment facility, including patient admissions, eligibility verification, medical record preparation, and coordination of inpatient care activities. Supports military healthcare operations by managing patient movement, casualty reporting, Line of Duty determinations, and coordination with medical staff, outside facilities, and support agencies to ensure accurate documentation and continuity of care.

Education
  • High school diploma or General Educational Development (GED) equivalent.
Certifications
  • Basic Life Support (BLS).
Experience
  • At least six (6) months of experience in a medical office setting
  • A fully qualified typist with a minimum of 50 WPM is required.
  • General medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • General office administrative and clerical skills to perform receptionist duties and answer telephones.
  • Communicate effectively, both orally and in writing.
  • Operate computerized programs, in order to enter, to modify, and to retrieve information into or from electronic medical records.
Key Responsibilities
  • Receives and screens telephone calls; receives walk-in patients; responds to various general and routine medical, personnel and administrative inquiries, and escorts patients as necessary.
  • Provides advance directives, third party liability documentation, and other forms for patients to complete for inclusion into inpatient medical records.
  • Creates preadmission charts and completes the process in the electronic reporting systems (GENESIS, etc.).
  • Notifies Commander or designee of active‑duties patient’s inpatient admission and/or subsequent discharge/transfer from an MTF. Tracks and reports statistics as required.
  • Coordinates/communicates with local civilian/non-military medical facilities to identify active‑duties admissions in the local area.
  • Coordinates with the base Casualty Affairs Officer for notification and support of all seriously ill or injured active‑duties members (both within the MTF and the local area).
  • Determines/verifies eligibility of all patients using the Defense Enrollment Eligibility Reporting System (DEERS).
  • Tracks and reports daily patient movement, bed status and ward transfers.
  • Corrects admission errors.
  • Assists in coordinating patient transfers from other wards or to outside facilities.
  • Ensures individuals meet criteria as specified in Statute, regulation or TRICARE manuals.
  • Tracks and reports all casualty reports and notifications in accordance with Government policies and procedures.
  • Assists providers in preparing death certificates according to State guidance. Obtains a decision regarding an autopsy and coordinates with the appropriate office for completion.
  • Coordinates with MTF lab for housing and disposition of deceased’s remains.
  • Coordinates documents for transportation of deceased persons.
  • Completes necessary actions required for Data Quality reporting.
  • Processes Line of Duty determinations, coordinating with providers, the SGH (Chief of the Medical Staff), MPF (Military Personnel Flight) and Legal
Work Environment and Schedule

Monday through Friday, no federal holidays, for 8 hours daily with flex‑schedule between 0700 and 1700 with a non‑billable lunch hour. Not to exceed 40 hours per week.

Compensation & Benefits

Up to $21.24 + H&W

Physical Requirements

Prolonged periods of sitting, standing, and walking throughout the medical treatment facility. May be required to escort patients within the facility and transport or carry light files, records, or office materials up to 15 pounds.
