Job Title:
Receptionist & Facilities Coordinator (2-Month Contract, Renewable)
Location: Singapore
Salary: $2,600 per month
Working Hours: Monday to Friday, 9:00 AM – 6:00 PM
Contract Duration: 2 Months (Renewable)
Attire: Office Attire with Blazer
Key Responsibilities- Welcome and register visitors, guests, and contractors professionally.
- Manage incoming calls, emails, and general enquiries.
- Handle incoming and outgoing mail, including local and international mail distribution.
- Coordinate courier services and parcel management.
- Ensure the reception area remains tidy, presentable, and well-organized.
- Maintain proper issuance, tracking, and return of visitor badges, access cards, and borrowed items.
- Support daily facilities operations and office administrative functions.
- Manage training room and meeting room bookings through Outlook Calendar.
- Coordinate room setup requirements, including seating arrangements, microphones, and audio-visual support requests.
- Liaise closely with meeting hosts and stakeholders to ensure event and training requirements are met.
- Assist in tracking facilities requests and following up with vendors and service providers.
- Ensure fire evacuation routes and office safety information are properly communicated and maintained.
- Monitor office supplies and support general workplace coordination activities.
- Manage incoming and outgoing email communications promptly and professionally.
- Maintain accurate records and documentation.
- Follow established procedures and ensure tasks are completed accurately and on time.
- Work closely with a team of three to support overall office operations.
- Minimum N-Level qualification or higher.
- At least 1 year of relevant receptionist, customer service, facilities, or administrative experience.
- Proficient in Microsoft Office and Outlook, particularly meeting room scheduling and calendar management.
- Strong attention to detail and ability to manage multiple tasks effectively.
- Professional, service-oriented, and customer-focused attitude.
- Able to follow instructions carefully while taking initiative when required.
- Proactive, organized, and ready to work in a fast-paced environment.
- Comfortable communicating with stakeholders at all levels.
- Willing to ask questions and seek clarification when unsure.
- Strong teamwork skills and ability to collaborate effectively with colleagues.
