Job Summary
The Admitting Registrar is responsible for greeting and receipting all patients presenting to the appropriate departments (Inpatient, Ambulatory Surgery, Ambulatory Testing Center, etc.) in an ethical and efficient manner. In this role, you will obtain demographics and insurance information from patients seeking treatment, understand and adhere to all HIPAA policies, and ensure that information obtained supports billable/collectable accounts. You will interact in a professional and customer‑focused manner with patients, families, and visitors, serving as the calm and reassuring presence patients need as they navigate their hospital experience.
Additionally, you will be responsible for patient placement throughout the facility in the bed control unit within Admitting.
Understands and adheres to the WPH Performance Standards, Policies and Behaviors. Generates patient charts, , obtains pertinent signatures, coordinates patient charts to include physician orders, medical consent, and directs patients to appropriate ancillary departments for testing. Integrates the use of Health Information System (HIS) for insurance eligibility, copays, and correcting registration errors at the time of registration. Checks inpatient and ambulatory patient’s valuables with the cashier and accompanies patients to sign the Valuable Policy Release form which should be included in the patient folder.
Scans insurance cards and legal patient identifications. Provides each patient with all mandatory documents (Notice of Privacy Practices, Patient Bill of Rights). Uses language interpreters for patients whose preferred language is other than English. Processes patient pre‑admission for all elective patients either by telephone or when the patient arrives for pre‑op testing. Informs patients about their responsibilities at the time of pre‑registration.
Performs morgue reconciliation in addition to obtaining appropriate signatures for hand‑off to funeral homes. Enters ordered tests into the Order Communication system to ensure that ancillary departments receive appropriate testing orders through the computer system. Ensures that patient charts are completed in a comprehensive, accurate manner, giving attention to proper chart alignment. Notifies insurance companies of inpatient admission/outpatient services at the hospital.
Sets up patient charts for the following day. Audits patients’ charts for JACHO compliance. Prepares inpatient, Ambulatory/Endoscopy daily list printed from the OR scheduling system. Verifies credit cards and collects payments at point of sale. Completes pre‑certification process on weekends for those insurance carriers mandating weekend completion. Escorts patients to the Ambulatory Surgery unit. Completes work queues during downtime to assist Patient Accounts with accurate and timely billing.
Contributes to Press Ganey patient satisfaction. Performs all other related duties as assigned.
High School diploma or GED required. 1–3 years previous hospital experience preferred. 1–3 years of registration experience in a medical setting strongly preferred. Basic computer skills (medium proficiency). Knowledge of medical terminology (medium proficiency). Familiarity with electronic medical record (low proficiency). Bilingual in Spanish helpful (low proficiency). Some knowledge of medical insurances and Patient Financial Services. HBI Learning must be completed during the onboarding process upon hire.
