OFFICE COORDINATOR/CERTIFIED MEDICAL ASSISTANT(CMA) OR LPN

Humboldt, IA, US

This part‑time position is scheduled for approximately 24–32 hours per week, with additional hours as needed. Shift hours typically range from 7:30 AM to 4:00 PM, Monday through Friday. Day assignments will vary based on departmental needs.

Job Title: Outpatient Office Coordinator

Department: Outpatient Specialty Clinic (OPSC)

Primary Function and Relationship to Total Organization: Part‑time Certified Medical Assistant (CMA) or LPN/Office Coordinator responsible for coordinating outpatient physician clinic schedules, including registration, check‑in, and check‑out for HCMH and traveling physicians.

Reports to: Outpatient Supervisor

Essential Duties and Responsibilities:

  • Answer phones, send faxes, scan paperwork, and take detailed messages.
  • Maintain strong verbal and written communication skills.
  • Work in a fast‑paced, high‑volume patient environment.
  • Prioritize, multitask, and ensure detail orientation.
  • Problem‑solve and adapt to changing situations.
  • Register patients and schedule follow‑up appointments.
  • Follow clinic processes and protocols; collect and send required information to appropriate departments and physician offices.
  • Maintain accurate records and clinic statistics.
  • Compile and provide the OPSC schedule to all hospital departments and UPC.
  • Demonstrate positive customer‑relation skills.
  • Learn and use various EMR systems used by traveling physicians; attend required training or travel as needed.
  • Prepare charts for future clinics, including writing orders and calling patients to remind them of appointments.
  • Stock OPSC rooms with supplies, linens, and maintain appropriate PAR levels.
  • Room patients if requested, including directing them to exam rooms and providing gowns, drapes, and positioning.
  • Assist providers during examinations, prepare laboratory specimens, perform basic laboratory tests, sterilize instruments, administer medications, and manage prescriptions.
  • Record billing information, complete insurance forms, and respond to insurance inquiries.
  • Maintain a safe, secure, and healthy work environment by enforcing standards, procedures, and legal regulations.
  • Protect patient confidentiality and secure patient information.
  • Adhere to professional standards, policies, procedures, and JCAHO standards.
  • Participate in continuous education and professional development.
  • Attend department meetings and contribute to performance‑improvement activities.
  • Perform additional duties as assigned.

Personal Specifications –

Education:

  • Graduate of an accredited Medical Assistant program.
  • Current certification as a Certified Medical Assistant (CMA) through AAMA or NCCT, or graduate of an approved LPN program with a valid Iowa license.

Experience &

Qualifications:

  • One year of experience in a family practice, urgent care, or related setting (preferred).
  • Healthcare experience preferred.
  • Knowledge of medical terminology.
  • Knowledge of health‑system EMR systems.
  • Organizational skills to manage patient flow.
  • Ability to administer injections.

Mental Demands:

  • Make sound judgment decisions.
  • Relate to patients, doctors, and staff courteously and professionally.
  • Display strong organizational and communication skills.
  • Adapt to a changing healthcare environment and variable clinic days.
  • Handle constant interruptions while performing assigned work.

Physical Demands:

  • Long periods of sitting and standing.
  • Long periods of detailed computer work.
  • Move equipment and furniture to accommodate clinic room needs.
