Outpatient Office Coordinator Department:
Outpatient Specialty Clinic (OPSC) Primary Function and Relationship to Total Organization

Full-time Office Coordinator Position (CMA or LPN required) for our Outpatient Specialty Clinic.

Responsible for Coordinating Outpatient Physician Clinic schedule. Responsible for entering complete registration, check-in and check-out for both HCMH and the Traveling Physician’s for the HCMH Outpatient Specialty Clinic. CMA or LPN responsibilities when needed, working under the direction of the healthcare provider and working closely with other clinical staff. Clinical function expectations within a clinic setting requiring knowledge and integration of available standards, resources, and data;

discretion; good judgement; diplomacy; decision making; and a customer service attitude. Must be able to rotate between registration and rooming duties as the need calls throughout the workday with minimal supervision.

Essential Duties and Responsibilities
  • Answer phones, send faxes, scan paperwork, as well as take detailed messages.
  • Demonstrates strong verbal and written communication skills.
  • Be able to work in a fast paced, high volume patient environment at times.
  • Detail orientated and being able to prioritize and multitask is a MUST.
  • Able to problem solve and adapt to changing situations.
  • Be able to register patients along with making follow-up appointments for patients.
  • Follow processes and protocols for each clinic, collects and sends information to appropriate departments/Doctor’s offices. Examples include copies of insurance cards, photo ’s, some co-pays and any additional paperwork requested by physician offices.
  • Maintain appropriate records including statistics of clinic visit and orders.
  • Compile and provide the OPSC Schedule to all the departments in the hospital and UPC.
  • Demonstrate positive customer relation skills.
  • Be ready and willing to learn different EMR systems that the traveling physicians use. With this you need to be willing and able to do classes, travel to traveling physicians’ home location and or Net Learnings when the facilities require you to do this for upgrades.
  • Prep charts for future clinics which includes writing up orders, calling patients to remind them of future appointments and testing.
  • Keep OPSC rooms stocked with supplies, linens and provide appropriate PAR levels.
  • Ability to room patients if requested:
    Prepares patients for the health care visit including: directing and/or accompanying them to the exam room; providing examination gowns and drapes; helping them to position themselves for the examination and/or treatment; arranging examining room instruments, supplies, and equipment for the visit.
  • Supports and educates patient care delivery by helping the health care provider during examinations, preparing laboratory specimens, performing basic laboratory tests on the premises; disposing of contaminated supplies; sterilizing medical instruments; administering medications on the premises; authorizing drug refills as directed, telephoning prescriptions to pharmacies; preparing patients for x-rays, changing dressings, and removing sutures.
  • Record billing information of services rendered; completing insurance forms; responding to insurance and other third-party inquiries.
  • Maintains safe, secure, and healthy work environment by following, and enforcing standards and procedures, complying with legal regulations.
  • Maintains patient confidence and protects operations by keeping patient care information confidential.
  • Adhere to professional standards, policies and procedures, federal, state, and local requirements, and Joint Commission on Accreditation of Healthcare Organization (JCAHO) standards.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
