Full-Time position available in our Therapy Department, working Monday through Friday from 9:00 AM to 5:30 PM. The schedule is divided between Therapy Technician responsibilities and Front Desk coverage, with approximately half of the week dedicated to each role.

Job Relationships:

Reports To: Director of Rehabilitation Services / Director of Therapy

Interrelationships: Works in conjunction with Physical Therapy, Occupational Therapy, Speech Therapy, Cardiopulmonary Services, Dietitian Services, Diabetes Education, physicians, patients, families, and other members of the healthcare team.

Job Overview:

This position provides both clinical support and administrative services for the Rehabilitation Services and Wellness Hub departments. This position is responsible for maintaining a clean, safe, and efficient therapy environment while also assisting with patient registration, scheduling, medical records management, customer service, and daily office operations. This plays a key role in supporting therapists, ensuring smooth workflow, and creating a positive patient experience.

Essential Duties and Responsibilities:

Including, but not limited to:

  • Greet patients, visitors, and customers in a professional, courteous manner and assist with directions or escort arrangements as needed.
  • Register patients and verify demographic, insurance, and billing information.
  • Answer telephones, route calls, take messages, and respond to inquiries appropriately.
  • Schedule patient appointments and coordinate therapist schedules to maximize efficiency.
  • Communicate with clinical staff patient information as needed.
  • Collect payments, process cash, checks, and credit card transactions, issue receipts, balance cash drawer, and prepare daily deposits.
  • Maintain patient confidentiality and release patient information in accordance with hospital policies and regulations.

Administrative Support:

  • Scan and upload documents into the Electronic Medical Record (EMR).
  • Maintain physical and electronic files.
  • Assist with prior authorizations, diagnosis coding, filing, and other clerical tasks.
  • Utilize department software systems, including EPIC and Microsoft Office applications.
  • Assist other departments and the business office with special projects as assigned.
  • Provide switchboard coverage and departmental support during emergencies, breaks, staffing shortages, or other operational needs.

Clinical & Therapy Support:

  • Prepare treatment rooms and therapy areas between patients to maintain efficient patient flow.
  • Assist therapists with non-clinical tasks during treatment sessions, including removing patients from modalities as directed.
  • Maintain cleanliness and organization of therapy gyms, treatment rooms, waiting areas, pediatric therapy spaces, and sleep study rooms.
  • Assist with setup and teardown of equipment in other departmental areas.
  • Ensure therapy equipment is maintained through routine inspection, preventive maintenance, troubleshooting, and repair coordination.
  • Maintain adequate inventories of supplies and notify appropriate staff when restocking is needed.

  • Protect patients, visitors, and staff by adhering to safety standards and established procedures.
  • Promote a positive patient experience through excellent customer service.
  • Participate in quality improvement initiatives and departmental activities.
  • Attend required meetings, in-services, training sessions, Med Trainer assignments, and continuing education opportunities.
  • Assist in training new employees as requested.
  • Work collaboratively with team members and contribute to a positive workplace culture.
  • Perform additional duties as assigned to support departmental and organizational needs.

Minimum Qualifications:

Education:

  • High School Diploma or equivalent required.
  • Medical office training or healthcare-related education preferred.

Experience:

  • Medical office, clerical, customer service, or healthcare experience preferred.
  • Previous rehabilitation, therapy, or hospital experience preferred.

Licensure/Certification:

  • Valid driver's license required.
  • CPR certification for Health Care Providers (or ability to obtain within established timeframe).
