Location: Estherville
This is a part-time position (25 hours/week) located on the Emmetsburg Campus. The Print Services & Communications Assistant is responsible for coordinating and fulfilling print service requests, producing high-quality printed materials, maintaining print operations, and support marketing and communications initiatives. This position serves as a key resource for print production, media relations support, and distribution of institutional communications while ensuring projects are completed accurately, efficiently, and in alignment with Iowa Lakes brand stands.
The successful candidate must be customer-focused, detail-oriented, organized, and able to manage multiple priorities in a deadline-driven environment.

ESSENTIAL DUTIES & RESPONSIBILITIES (% OF THE TIME):
Constant (67-100%)
* Prepare, review, and optimize artwork and working files for print production, ensuring accuracy, print readiness, and compliance with project specifications.
* Receive, track, and manage incoming print requests through the established project management system.
* Operate digital and offset printing equipment to produce high-quality printed materials.
* Operate finishing equipment, including cutters, binders, punches, collators, laminators, and related equipment.
* Maintain accurate records of print projects, deadlines, inventory, and material usage.
* Coordinated print production schedules and ensure timely completion of projects.
* Work closely with the Brand & Marketing Coordinator to ensure printed materials align with institutional brand standards.
* Coordinate and process all direct mail projects, including mail list preparation, addressing, sorting, weighing, postage calculation, postal documentation, postage meter operation, and delivery to the United States Postal Service or other mailing providers.
* Draft, edit, distribute, and maintain records of institutional press releases and media communications.
* Maintain media contact databases and distribution lists.
* Coordinate media release distribution and communication tracking.
* Provide exceptional customer service to internal and external stakeholders.
* Maintain organized records of completed print and communication projects.
* Other duties as assigned.
Frequent (34-66%)
* Collaborate with the Marketing Department to support communication, recruitment, and promotional initiatives.
* Assist with organization and maintenance of marketing templates, archived files, and printed marketing inventory.
* Coordinate print specifications and production needs with vendors when necessary.
* Calculate project costs, prepare billing documentation, and maintain production records.
* Order and maintain print shop supplies, paper inventory, ink, and finishing materials.
* Assist with distribution or printed marketing materials across campuses and events.
* Support development of signage, promotional materials, and event collateral.
* Perform minor edits and adjustments to print-ready files as needed to ensure quality and production efficiency.
Occasional (10-33%)
* Assist with county fairs, career days, open houses, parades, commencement, and community events.
* Assist with photography coverage of events and activities when additional support is needed.
* Support special projects and institutional initiatives coordinated by the Marketing Department.
* Learn and operate additional equipment and technologies as needed.
* Serve on committees and project teams as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
* Strong customer service mindset with the ability to establish and maintain effective working relationships with faculty, staff, students, vendors, media contacts, and the public.
* Proficiency with computers, including Adobe Creative Suite, Microsoft Office, and project management software such as Asana or similar platforms.
* Working knowledge of digital printing processes, print production workflows, and finishing techniques.
* Ability to prepare, review, and optimize files for print production while maintaining quality and accuracy.
* Working knowledge of postal regulations, bulk mail processes, postage systems, and direct mail production procedures.
* Ability to prioritize and manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
* Excellent written, verbal, proofreading, and editing skills.
* Ability to exercise sound judgment and independent decision-making in print production and communications support activities.
* Strong organizational skills, attention to detail, and commitment to accuracy.
* Ability to write, edit, and distribute press releases and maintain media contact databases.
* Ability to maintain accurate records related to print production, inventory, billing, and communications activities.
