Bilingual Training Administrator

Due to our continuous expansion and increasing demand from our worldwide customers, GP Strategies is looking for bilingual training administrators (German and English) for an initially 12-month contract – with the clear and realistic prospect of a permanent position as we continue to grow.

The positions are to be filled in November at our client's location in Cologne.

Your daily tasks will include:

  • Coordination and scheduling of training events across multiple programs
  • Managing registrations and sending confirmations of attendance
  • Booking instructors, venues, accommodations, and logistics
  • Coordinating with service providers (hotels, catering, printers, etc.)
  • Handling inquiries from participants and interest groups via phone and email
  • Ensuring smooth and timely execution of events
  • Maintaining accurate records in various systems and reporting tools
  • Identifying opportunities to improve processes and service delivery

What we are looking for:

Essential:

  • Fluent German and English skills (verbal and written) – this is crucial for success in this position
  • Experience in administration, operations, or customer service
  • Strong organizational skills and the ability to manage multiple tasks simultaneously
  • Excellent communication skills and attention to detail
  • Confident in working with international teams across time zones
  • Ability to remain calm under pressure and deliver results

Advantageous:

  • Experience in training, education, or L&D
  • Familiarity with learning management systems (LMS)
  • Advanced skills in Microsoft Office

Responsibilities
  • Support clients and GP teams with class organization, including booking instructors, guest speakers, and venues.
  • Manage all administrative aspects of classes, such as printing materials, catering, and kit arrangements.
  • Maintain excellent client and stakeholder relationships, ensuring high levels of customer satisfaction.
  • Contribute to internal KPIs and SLAs, ensuring timely and efficient event execution.
  • Work with clients from various industries, including financial services, insurance, pharmaceuticals, automotive, and technology.
  • Collaborate with global and regional clients, reflecting the diverse nature of GP Strategies Limited's operations.
  • Demonstrate a customer-focused approach, ensuring client needs are met and exceeded.
  • Utilize cross-cultural experience to effectively communicate and collaborate with virtual teams across different time zones.
  • Display assertiveness and resilience when working under pressure and within demanding timelines.
Qualifications
  • Fluent in written and spoken English and German.
  • Proven experience in an operational, processing, or customer service role, demonstrating strong organizational skills.
  • Proficiency in Microsoft Word and Excel, along with good IT skills.
  • General administration experience, with a focus on attention to detail.
  • Excellent communication skills, both verbal and written, to effectively interact with clients and stakeholders.
  • Ability to work well under pressure and manage demanding timescales.
  • Cross-cultural experience and the ability to work with virtual teams across time zones.
  • Proven teamwork skills and a collaborative mindset.
