This is an hourly nonexempt position reporting directly to the Accounts Payable Manager. The weekly schedule is Monday–Friday from 8:00am to 5:00pm at our Irvine, CA headquarters.
Responsibilities- Records vendor invoices and check requests with accurate coding and support items
- Maintains vendor files, including W‑9 information, terms, etc.
- Pays vendors by scheduling payments/processing check runs and ensuring application of any outstanding credit
- Responds to all vendor inquiries regarding accounting in a timely and professional manner
- Processes employee expense reports, including verifying account coding and approvals
- Verifies vendor accounts by reconciling monthly statements and related transactions
- Provides accurate and effective document preparation and records management relative to the AP function in accordance with records retention policies and procedures
- Protects organizations’ value by keeping information confidential
- Updates job knowledge by participating in educational opportunities
- Performs general clerical duties to include, but not limited to, copying, scanning, faxing, mailing, and filing, as necessary
- Demonstrates a high degree of professionalism in communication, attitude and teamwork with customers, peers, and management
- Demonstrates high level of quality work, attendance, and appearance
- Adheres to all Company Policies & Procedures and Safety Regulations
- Adheres to local, state, and federal laws
- Additional responsibilities assigned by supervisor related to your position/department
- Ability to be flexible and willing to work extended hours when necessary
- Microsoft Office Excel experience preferred
- High school diploma or equivalent
- Ability to lift to 30 pounds and stand/walk for extended periods
- Ability to read, count and write to accurately complete all documentation and reports
- Manual dexterity required using hands to finger; handle, feel and type; reach with hands and arms
