Position OverviewWe are seeking a hands-on Accounting and Administration Manager to oversee accounting, payroll, human resources administration, and general corporate operations.
The company operates multiple restaurant locations across several U.S. states and employs approximately 200 employees, most of whom work at restaurant locations. The corporate administration team consists of approximately five members.
This position will supervise three administrative and accounting staff members and work closely with the CFO. The ideal candidate has a solid accounting background and experience handling a broad range of responsibilities within a small or mid-sized organization.

Key Responsibilities Accounting and Bookkeeping- Oversee daily bookkeeping and general ledger activities.
- Review accounting entries and work completed by junior staff.
- Manage accounts payable and accounts receivable activities.
- Review and approve vendor payments and fund transfers.
- Perform bank and account reconciliations.
- Support month-end and year-end closing processes.
- Prepare and review financial reports.
- Ensure accounting transactions are recorded accurately and on schedule.
- Review unusual or new transactions and determine the appropriate accounting treatment.
- Coordinate with the CFO and external accounting or tax professionals as needed.
- Maintain accounting records in accordance with U.S. GAAP.
This position does not require experience in fundraising, corporate finance, or investment-related activities.
Payroll and Employee Administration- Oversee payroll preparation for approximately 200 employees.
- Review employee hours, tips, payroll changes, and information submitted by restaurant managers.
- Enter and verify payroll information using the company's payroll system.
- Investigate and resolve payroll discrepancies.
- Respond to employee questions regarding paychecks, timekeeping, benefits, PTO, and related matters.
- Coordinate employee enrollment and changes for medical, dental, vision, and 401(k) plans.
- Support employee onboarding and offboarding.
- Maintain accurate employee and payroll records.
- Research and stay informed about applicable California and federal employment requirements.
- Coordinate with external specialists when complex employment matters arise.
Extensive HR-specialist experience is not required. However, candidates should be comfortable researching regulations, managing employee-related administrative matters, and handling confidential information appropriately.
General Administration and Compliance- Manage business licenses, permits, and renewal schedules.
- Review and respond to correspondence from government agencies.
- Maintain corporate and administrative records.
- Coordinate insurance renewals and related documentation.
- Support workers' compensation and other insurance matters.
- Oversee office vendors, supplies, contracts, and general administrative operations.
- Troubleshoot non-routine accounting and administrative issues.
- Establish and improve internal procedures and workflows.
- Ensure deadlines are met and operational matters are handled promptly.
- Supervise, train, and support three accounting and administrative staff members.
- Review the quality and accuracy of team members' work.
- Assign responsibilities and monitor deadlines.
- Respond to staff questions and provide guidance on accounting and administrative matters.
- Improve routine procedures and develop clear internal processes.
- Support the professional development of team members.
- Conduct performance evaluations and provide constructive feedback.
