The Administrative Assistant provides high-level administrative and organizational support to the Executive Vice President (EVP) of Stanbridge University. This role requires strong critical thinking skills, excellent communication abilities, and the ability to work effectively with senior leadership and directors across academic and administrative departments. The Administrative Assistant manages scheduling, coordinates meetings and communications, ensures accuracy of reporting, and serves as a strategic collaborator to the EVP.
In partnership with the EVP, this role also supports priority projects and tasks for the Directors of Marketing and Media & Communications.
Key Responsibilities:- Manage the EVP’s calendar, prioritize requests, and ensure effective allocation of time.
- Coordinate and schedule meetings with internal and external stakeholders, ensuring agendas, materials, and logistics are prepared.
- Serve as a liaison between the EVP and directors, faculty, and staff across curricular and co-curricular departments to facilitate clear communication and timely follow-up.
- Draft, edit, and review correspondence, reports, and presentations to ensure accuracy and professional tone.
- Gather, analyze, and summarize information to support executive decision-making and strategic initiatives.
- Exercise discretion and sound judgment when handling confidential and sensitive information.
- Anticipate the EVP’s needs and proactively identify opportunities to streamline operations and improve efficiency.
- Track progress on initiatives and ensure accountability for follow-up items across departments.
- Support hiring processes and departmental coordination as requested by the EVP.
- Represent the EVP professionally in interactions with internal and external partners.
- Bachelor’s degree required; advanced degree or executive administrative certification preferred.
- Minimum 1–3 years of progressively responsible administrative support experience; experience supporting senior executives strongly preferred.
- Exceptional written and verbal communication skills, with the ability to interact confidently with director-level and executive leadership.
- Demonstrated organizational and time management skills, with the ability to prioritize multiple projects under tight deadlines.
- High-level proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management or communication tools preferred.
- Strong critical thinking, analytical, and problem‑solving abilities.
- Proven ability to exercise discretion, confidentiality, and sound judgment.
- Professional demeanor, adaptability, and strong interpersonal skills to support cross‑departmental collaboration.
- $20‑$23/hr compensation is based on education experience and departmental equity

- Must be able to perform each essential duty satisfactorily and be physically present in the office (unless otherwise noted).
