** Inventory & Parts Assistant
** for a leading manufacturer of industrial food processing equipment located in Irvine, CA. This is an excellent opportunity for an organized, customer-focused professional who enjoys working with inventory, order processing, logistics, and customer support in a fast-paced environment.

The Maintenance Parts Assistant plays a key role in supporting domestic and international parts operations, ensuring timely order fulfillment, inventory accuracy, and outstanding customer service.

** Responsibilities*
* ** Customer Service & Parts Support*
* Prepare and process parts quotations for domestic and international customers.

Manage parts orders, backorders, and shipment requests.

Coordinate with Japan headquarters and local vendors regarding parts availability.

Respond to customer inquiries via phone and email.

Update customer information within the company database.

** Shipping, Logistics & Inventory*
* Process domestic and international shipments through carriers such as Fed Ex and UPS.

Prepare shipping documentation including:

Proforma Invoices

Commercial Invoices

Shipping paperwork

Track and investigate missing or lost parts.

Maintain warehouse inventory and stock levels.

Process regular replenishment orders from Japan.

Handle special-order and serialized parts.

** Administrative & Financial Support*
* Coordinate with Accounting regarding:

Invoice processing

Ensure parts costs are properly transferred to the Sales Department.

Maintain accurate pricing, discontinued parts, and alternative parts information within company systems.

** Additional Duties*
* Support special projects and departmental initiatives.

Maintain accurate records and documentation.

Follow all company policies, procedures, and safety standards.

Communicate effectively with internal departments and external customers.

** Qualifications*
* ** Required*
* High School Diploma or GED.

Strong customer service and administrative skills.

Proficiency with Microsoft Office (Word, Excel, Outlook).

Excellent communication skills, both written and verbal.

Ability to manage multiple priorities and maintain attention to detail.

Valid Driver's License.

** Preferred*
* Associate's Degree or Bachelor's Degree.

Experience in parts administration, inventory control, logistics, customer service, warehouse operations, or order processing.

Experience working with ERP systems or inventory management software.

Experience supporting domestic and international shipments.

** Work Environment*
* Office and warehouse support environment.

Moderate noise level.

Frequent sitting and computer work.

Occasional standing, walking, reaching, and handling inventory items.

Rare local, domestic, or international travel may be required.
