Operations Coordinator
Pay Rate: $30/hour
Location:
100% Remote (Must be based near Irvine, CA) Travel:
Occasional travel to the Irvine, CA office for meetings and trainings

We are seeking a highly organized and detail-oriented Operations Coordinator to support a District, Area, or Functional team with project coordination and administrative activities. This role is responsible for tracking deliverables, maintaining accurate reporting systems, supporting meetings, and ensuring project timelines stay on track.
The ideal candidate thrives in a fast-paced environment, communicates effectively, and proactively identifies and escalates potential issues before they become critical.
Key Responsibilities- Maintain and update project tracking systems to ensure accurate and timely status reporting (including third-party management systems)
- Monitor project deliverables, deadlines, and milestones; proactively highlight variances
- Create and distribute internal and external correspondence related to projects or programs
- Prepare materials and provide administrative support for meetings
- Communicate risks or issues to management before they reach critical status
- Develop and maintain complete and accurate project files; ensure documentation integrity
- Generate ad hoc and recurring status reports as requested
- Provide additional administrative and operational support as needed
- High school diploma or equivalent
- 2+ years of experience in a business environment with project coordination and/or administrative support responsibilities
- Strong proficiency in Microsoft Office (especially Excel)
- Ability to learn and navigate project tracking and management systems
- Project tracking and deadline management
- Strong organizational and time management skills
- Advanced Excel skills (reporting, tracking, data organization)
- Effective written and verbal communication
- Ability to adapt in a dynamic, fast-paced environment
- Strong problem-solving skills with a proactive mindset
- Customer service orientation
- Ability to manage multiple priorities simultaneously
- Remote work environment
- Occasional in-office meetings/trainings in Irvine, CA
- Standard office setting with no exposure to adverse environmental conditions
- Candidate responsible for maintaining reliable home internet
