Pathway Capital Management Office Assistant
The Office Assistant is a vital part of Pathway's large office space. This role provides office maintenance and administrative support to various departments.
Duties and Responsibilities
- Perform clerical duties such as scanning, photocopying, creating Fed Ex labels, mailing, and daily mail collection & distribution.
- Participate in weekly or daily meetings with the Office Manager.
- Consistently update all OA procedures in the OA manual.
- Order office & kitchen supplies and monitor inventory weekly.
- Set up and clean up for office events while also monitoring and refilling food, etc., during events.
- Set up and clean up of all on-site meetings. This includes stocking sodas and waters in conference rooms, pulling up blinds, setting up coffee mugs, and ensuring the meeting space is ready.
- Ensure consistent coverage of incoming calls and front desk operations during scheduled shifts.
- Loading and unloading dishwashers, including refrigerator cleanouts, daily Coffee machine maintenance, restocking snacks and cold food items several times a day, wiping down counters, booths, and chairs, and sanitizing high-touch areas throughout the Café.
- Support staff in assigned project-based work.
- Provide back-up assistance to the receptionist for breaks and as needed.
- Maintain confidentiality of all client, staff, and company information.
- Keep a record of all new hires and departures, and update it consistently.
- Assist with the Emergency Team list.
- Other duties as assigned.
Knowledge/Skills/Abilities
- Pro-active problem solver who is able to think outside of the box in order to find solutions.
- At least one year of professional office experience, or similar experience.
- Must be focused and able to work well with little supervision.
- Self-motivated, service-minded individual who understands this position is highly visible to the company's employees and is pivotal to the company's smooth operation.
- Able to walk within the office consistently each day.
- Able to load carts with small- medium deliveries.
- Work collaboratively with team members to support overall operations.
- Must have experience in Word and Excel (Intermediate to Advanced skill level)
- Required to work in the office full-time
