About the Company:
Our client is a well‑established and growing real estate/homebuilding company known for delivering high‑quality residential communities. They are looking to add a detail‑oriented and proactive Administrative / Purchasing Coordinator to support their operations and purchasing team.
Position Overview:This role will play a key part in supporting purchasing, vendor coordination, and day‑to‑day administrative operations. The ideal candidate enjoys working in a fast‑paced environment, is highly organized, and can juggle multiple priorities while supporting both internal teams and external vendors.
Key Responsibilities:- Assist with creating and processing purchase orders for construction materials and services
- Maintain and update vendor records, pricing, and contracts
- Coordinate with vendors and suppliers to ensure timely delivery of materials
- Track and follow up on orders, invoices, and discrepancies
- Support budgeting and cost tracking for projects
- Maintain organized records of bids, contracts, and project documentation
- Assist with scheduling meetings, managing calendars, and general administrative support
- Communicate with project managers, construction teams, and accounting to ensure alignment
- Support special projects and additional administrative tasks as needed
- 2+ years of administrative, purchasing, or coordination experience (construction or real estate industry preferred)
- Strong organizational skills and high attention to detail
- Ability to manage multiple tasks and meet deadlines in a fast‑paced environment
- Strong communication skills, both written and verbal
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems (e.g., Sage, SAP, or similar) is a plus
- Experience working with vendors, purchase orders, or contracts is highly preferred
- Experience supporting construction, homebuilding, or real estate development teams
- Familiarity with budgeting, cost tracking, or job costing
- Knowledge of purchasing processes and vendor management
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
