Administrative Assistant II
The Administrative Assistant for the School of Arts and Sciences provides essential support to the Dean and the administrative operations of the school. This position assists with records, documents, facility coordination, faculty load sheets, adjunct contracts, financial forms, office supplies, and other clerical and operational needs. The Administrative Assistant also serves as a central point of contact for the school, supporting communication among faculty, staff, students, and university offices.
Essential Duties and
Responsibilities include:
- Maintain school-level faculty, staff, and adjunct records, including teaching loads, administrative assignments, overload payments, departmental assignments, titles, ranks, years of service, committee assignments, sabbaticals, and related documentation.
- Prepare and track adjunct contracts, coordinate electronic signatures, support onboarding for faculty and temporary staff, and respond to routine questions related to contracts, compensation, timesheets, and payments.
- Support data requests for the Dean and school leadership.
- Provide general administrative support for the School of Arts and Sciences office, including scheduling, correspondence, meeting minutes, records management, phone and email routing, supply orders, and calendar support for the Dean.
- Serve as a front-office point of contact for faculty, staff, students, guests, and university offices, directing questions and requests to the appropriate resources.
- Support academic and classroom operations, including collecting syllabi, scheduling courses and classrooms, posting student notifications, communicating deadlines, and assisting with school-level academic processes.
- Prepare and process financial documents for the Dean and SOAS faculty as needed.
- Assist with faculty evaluations, faculty searches, candidate communication, interview scheduling, travel arrangements, and campus visit logistics.
- Support school events, initiatives, and accreditation-related work, including CUI Bono Scholars and the President's Academic Showcase.
- Maintain confidentiality with school information.
- Perform other duties as assigned.
Pay Range: $25- $27 per hour
Qualifications
Education:
Preferred:
Bachelors or better.
Experience:
Preferred: three to four years related experience and/or training; or equivalent combination of education and experience.
