The Division of Enrollment Management is a key campus thought partner that provides collaborative leadership in university-wide efforts, utilizing systematic, innovative, and synergistic approaches to leverage a data-informed enrollment strategy to improve market distinctiveness, and execute the campus strategic plan.
The division comprises the offices of Enrollment Management, Financial Aid & Scholarships, University Registrar, and Undergraduate Admissions. The Office of Enrollment Management aims to align the initiatives and activities of academic units and administrative divisions with enterprise strategic goals through sustainable enrollment planning. The office engages campus and external partners in meaningful conversations on enrollment trends and outcomes and uses industry expertise and data-driven analytics to inform direction and decision-making.
The Office of Undergraduate Admissions employs approximately 50 full-time employees: 175 comprehensive review seasonal, part-time employees and 120 student assistants/tour guides. Additionally, partners with the Enterprise Student Management Systems OIT group and other Enrollment Management division and campus units. Your Role on the Team The Executive Assistant directly supports the Vice Provost of Enrollment Management and Executive Director of Undergraduate Admissions, providing comprehensive administrative and operational support to ensure effective administration of the Division of Enrollment Management and Offices of Enrollment Management and Undergraduate Admissions.
The incumbent is involved in an array of business and administrative functions such as calendar and communications management, procurement, travel and event management, accounting, human resources, office operations, and desktop support. Demonstrates good judgment in researching and selecting methods and techniques for obtaining solutions. The incumbent also serves as a Veterans Administration (VA) School Certifying Official, involved in the process of enrollment certification for military-connected students utilizing federal VA Education Benefits.
What It Takes to be Successful
Required:
Thorough knowledge of common organization-specific and other computer application programs. Solid analytical / problem-solving skills. Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies. Strong service orientation. Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.
Ability to multi-task with demanding time frames. Ability to use high-level discretion and maintain a high level of confidentiality. Solid skills in problem identification. Bachelor's degree in related area and / or equivalent experience / training 3-5 years of related experience Preferred:
Knowledge of federal regulations such as FERPA. Familiarity with the organization's processes, protocols and procedures. Knowledge of federal and State of California veteran education and work benefits. Familiarity with US Department of Veteran Affairs Enrollment Manager online platform. Advising and counseling skills. Understanding of the principles of California's Master Plan of Higher Education, with particular emphasis on the unique roles played by each segment.
Knowledge of UC / UCI admissions requirements, administrative areas, academic programs, curricula, and policies related to military-connected student benefits.
