Role DescriptionThe Accounting Administrative Assistant is a part‑time, on‑site contract role with strong potential to convert to a permanent W2 position. This position provides essential support to the firm’s accounting and finance functions by processing invoices, maintaining financial records, assisting with billing and collections, and preparing routine reports.
Day‑to‑day responsibilities include data entry and reconciliation in accounting software, invoice preparation and tracking, and general administrative support such as scheduling, file organization, and responding to internal and client inquiries. The role plays a key part in ensuring efficient office operations and accurate, timely financial processes across the firm.
Qualifications- Strong administrative skills, including organization, scheduling, document management, and professional communication.
- Foundational knowledge of accounting and finance principles, with the ability to support day‑to‑day bookkeeping and billing activities.
- Experience with accounting software for data entry, reporting, and account reconciliation.
- Proficiency in managing invoicing processes, including preparing, tracking, and following up on client invoices.
- High attention to detail, accuracy with numbers, and excellent time‑management skills.
- Strong proficiency in Microsoft Office (especially Excel and Word) and comfort working with digital records and databases.
- Effective interpersonal skills and the ability to collaborate with attorneys and administrative teams.
- A methodical approach with a strong emphasis on confidentiality, accuracy, teamwork, and quality of work.
- Prior experience in a professional services or law firm environment.
- Relevant coursework or a degree in accounting, finance, business, or a related field.
- Experience with legal practice management and accounting systems (e.g., Clio, Legal Tracker, LEDES billing, and/or Quick Books Online).
- $27 - $30 per hour on a 1099 contract basis
