We are partnering with a well-established organization in Irvine to identify a professional and customer-focused Administrative Assistant. This is an excellent opportunity for someone who enjoys working in a fast‑paced office environment, providing administrative support, and delivering exceptional customer service. The ideal candidate is organized, detail‑oriented, dependable, and able to manage multiple priorities while maintaining professionalism and confidentiality.

Responsibilities
  • Provide administrative support to the management team.
  • Serve as a primary point of contact for visitors, customers, vendors, and contractors.
  • Answer phones, greet visitors, and respond to inquiries in a professional and courteous manner.
  • Prepare correspondence, reports, meeting agendas, notices, and other business documents.
  • Maintain electronic and physical files with a high level of accuracy and confidentiality.
  • Assist with processing requests, work orders, and administrative documentation.
  • Coordinate meetings, appointments, and office communications.
  • Assist with preparing materials for meetings and presentations.
  • Process incoming and outgoing mail and maintain office filing systems.
  • Order and maintain office supplies.
  • Perform general administrative and clerical duties as assigned.
Qualifications
  • Minimum of 2 years of administrative experience in a professional office environment.
  • Strong customer service and interpersonal skills.
  • Bachelor degree in related field preferred.
  • Excellent written and verbal communication skills.

    Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Professional demeanor and strong work ethic.
Preferred Qualifications
  • Experience in an HOA, property management, community association, senior living, or similar environment is a plus.
  • Experience preparing meeting materials, agendas, and correspondence.
  • Familiarity with records management and document retention practices.
  • Bilingual English/Spanish is a plus.
Additional Information
  • Hourly pay of $25.00–$28.00, depending on experience.
