We are partnering with a well-established organization in Irvine to identify a professional and customer-focused Administrative Assistant. This is an excellent opportunity for someone who enjoys working in a fast‑paced office environment, providing administrative support, and delivering exceptional customer service. The ideal candidate is organized, detail‑oriented, dependable, and able to manage multiple priorities while maintaining professionalism and confidentiality.
Responsibilities- Provide administrative support to the management team.
- Serve as a primary point of contact for visitors, customers, vendors, and contractors.
- Answer phones, greet visitors, and respond to inquiries in a professional and courteous manner.
- Prepare correspondence, reports, meeting agendas, notices, and other business documents.
- Maintain electronic and physical files with a high level of accuracy and confidentiality.
- Assist with processing requests, work orders, and administrative documentation.
- Coordinate meetings, appointments, and office communications.
- Assist with preparing materials for meetings and presentations.
- Process incoming and outgoing mail and maintain office filing systems.
- Order and maintain office supplies.
- Perform general administrative and clerical duties as assigned.
- Minimum of 2 years of administrative experience in a professional office environment.
- Strong customer service and interpersonal skills.
- Bachelor degree in related field preferred.
- Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. - Professional demeanor and strong work ethic.
- Experience in an HOA, property management, community association, senior living, or similar environment is a plus.
- Experience preparing meeting materials, agendas, and correspondence.
- Familiarity with records management and document retention practices.
- Bilingual English/Spanish is a plus.
- Hourly pay of $25.00–$28.00, depending on experience.
- Paid holidays.
- Paid sick time in accordance with California law.
