The Business Development & Marketing Assistant plays an important support role within the department, providing administrative and project coordination assistance across a broad range of marketing, external communications, business development, client development, and event-related initiatives. This position requires strong organizational skills, sound judgment, close attention to detail, and the ability to manage multiple assignments in a fast-paced law firm environment.
Essential Duties and Responsibilities:
- Provide administrative support to the Chief Marketing and Business Development Officer, Directors, and other team members, including coordinating calendars, scheduling meetings, arranging travel, and preparing and submitting expense reimbursements and firm credit card reconciliations.
- Assist with invoice processing and budget tracking, including monitoring invoices, coordinating with internal accounting personnel and outside vendors, following up on payment status, and maintaining accurate department records.
- Serve as a point of contact for partner organizations and associations with which the firm maintains memberships or sponsor ships, coordinating invoices, deadlines, deliverables, and related logistics to help ensure the firm receives the full benefit of its participation.
- Provide document and project support, including proofreading, formatting, incorporating edits, preparing redlines, and assisting with the production of business development and marketing materials.
- Support events and client-facing programs by assisting with venue research, scheduling and calendaring, invitation lists, mail merges, RSVP tracking, name badge preparation, presentation updates, and other event logistics.
- Assist with the maintenance and accuracy of the firm's CRM system, including data entry, updates, and quality control.
- Maintain and update materials, experience lists, and matter information in Litera's Foundation experience management database.
- Track deadlines and follow-ups for department initiatives.
- Maintain and edit attorney bios on website.
- Provide general administrative and project support to the department and assist with other duties and special projects as assigned.
Education and/or
Experience:
Bachelor's degree in a related field. 1-2 years of relevant professional experience preferred. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.
Qualifications:
- Must have strong organizational skills and an ability to complete simultaneous projects with minimal supervision, consistently meeting short and long-term deadlines.
- Must have excellent written and verbal communication skills.
- Must have the ability to work within a complex and multifaceted business environment, thrives in a fast-paced, fluctuating environment and approach projects with a flexible and adaptable mindset.
- Strong knowledge of Outlook, Word, PowerPoint, and Excel required.
Compensation:
Allen Matkins is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $62,000.00- $75,000.00 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location.
