Duties And Responsibilities Document Processing Prepare drafts of immigration forms and support letters.
Review required documentation for inclusion in immigration form packets and collaborate with clients and team members to ensure timely filing of H-2A visa petitions.
Prepare draft responses for Requests for Evidence (RFEs), including translations from English to Spanish when required.
Assist in preparation of H-2A job orders and temporary labor certification applications for submission to the State Workforce Agency (SWA) and U.S. Department of Labor (DOL), as required.
Monitor Final date to receive applicationss to support timely immigration forms approvals and track case status.
Provide clients with consistent and timely status updates on immigration forms filed.
Utilize reporting tools and dashboards to prioritize high-volume caseloads, ensuring timely completion and accurate recordkeeping.
Escalate operational issues promptly to management as appropriate.
Work reliably with colleagues to support smooth case progression.
Administrative Support Manage incoming and outgoing departmental mail daily, including sorting, organizing, and time stamping correspondence.
Scan and upload documents to the case management system and maintain accurate filing of records.
Notify appropriate team members of incoming correspondence and document updates.
Send electronic copies of correspondence and documents to clients via email as required.
Coordinate outgoing mail to ensure timely delivery and accurate case record updates.
Provide general administrative support including but not limited to copying, scanning, filing, scheduling, answering incoming calls, distributing messages, maintaining calendars.
Assume responsibility for maintaining office supplies by checking inventory and order items.

Qualifications Bachelor’s degree plus two (2) to four (4) years administrative and/or collegiate academic experience, preferred.
Two-plus (2+) years H-2A visa or other immigration-related legal experience.
Excellent communication skills (both verbal and written) and an acute attention to detail.
Bilingual in speaking, reading, and writing both English and Spanish and a solid understanding of cultural nuances of the Spanish language when translating written material, preferred.
Paralegal certificate, preferred.
Proficiency with MS Office Suite (Word, Excel, Outlook) and Adobe Acrobat with the ability to learn new or updated software.
Highly detail-oriented with strong organizational skills and the ability to meet deadlines, adapt to changing priorities and perform well under pressure while working independently in a fast-paced, high-demand environment.
Ability to effectively manage and organize multiple tasks and projects, establish priorities and exercise sound judgment while maintaining strong interpersonal relationships and clear communication with clients and staff.
Proficiency in navigating case management systems and document-handling tools.
Ability to quickly learn and apply new processes and systems.
