We are looking for a dependable and organized Administrative & Data Entry Specialist to support daily office activities and maintain accurate business records. This position involves data entry, document organization, reporting, customer and internal communication, and general administrative support. The ideal candidate is detail-oriented, comfortable working with computers and spreadsheets, and able to manage multiple tasks while maintaining accuracy and confidentiality.
PrimaryDuties
- Enter and update information in databases, spreadsheets, and electronic systems.
- Review records and documents to identify missing, incorrect, or inconsistent information.
- Compare information from invoices, reports, spreadsheets, and other records and correct discrepancies.
- Prepare and distribute reports and other requested documents.
- Maintain organized electronic and paper filing systems.
- Scan, copy, file, and retrieve documents as needed.
- Answer phone calls, respond to emails, and route messages to the appropriate departments.
- Assist with scheduling meetings, appointments, and maintaining calendars.
- Prepare correspondence, forms, spreadsheets, and other office documents.
- Monitor office supplies and assist with mail and document distribution.
- Support document retention and confidential recordkeeping procedures.
- Work with different departments to collect and verify information.
- Help maintain accurate and up-to-date records.
- Handle confidential information responsibly.
- Manage multiple priorities and complete assignments within established deadlines.
- Perform other administrative duties as needed.
- Strong organizational and attention-to-detail skills.
- Good written and verbal communication abilities.
- Comfortable using Microsoft Word, Excel, and Outlook.
- Accurate typing and data entry skills.
- Previous experience with office administration, records, or document control preferred.
- Ability to identify problems and resolve basic discrepancies.
- Able to work independently while also contributing to a team.
- Strong time-management and multitasking skills.
- Professional and dependable work habits.
Primarily an office-based position with regular computer use. Occasional work may be required in manufacturing or production areas. Safety equipment such as safety glasses, hearing protection, and steel-toe footwear may be required when entering designated production areas. Work areas are generally climate controlled. Employees must follow all workplace safety procedures.
Physical RequirementsAbility to sit or stand for extended periods. Frequent walking throughout the work area. Regular use of hands and fingers for typing and operating office equipment. Ability to reach for files, documents, and stored materials. Ability to safely lift and move materials as required. Ability to work at a computer for extended periods. Ability to communicate effectively by phone, email, and virtual meetings.
Ability to properly perform basic lifting and reaching tasks.
