Ensures a positive first impression as the primary point of contact for building associates, visitors, and other company representatives. Handles all incoming calls, packages and mail to the corporate office. Supports administrative team with various tasks.
- Promotes positive, proactive interactions with all visitors to make their Irvine Company experience of the highest quality.
Greets and assists all associates, vendors and visitors according to company standards; responds to questions/concerns and provide appropriate follow up.
Prepares the reception area for visitors daily as well as appropriately shut down at the end of the day.
Answers phone calls and directs as appropriate, taking messages and resolving incoming requests.
Manage all incoming packages and mail; assist in distribution when necessary.
Manage/Monitor corporate vendors such as but not limited to:
Office Depot, Fruit Guys, Nestle, Corodata Shredding and Alta Snacks. Place orders, approve invoices in SAP and coordinate scheduling when needed.
Forward, create and manage corporate communications as well as calendar invites.
Update and distribute the Corporate and On-Site Rosters, Property Address List, Evacuation Roster and Reception Break Schedule.
Effecctively utilize and manage Google Suite including internal information platforms such as Tic Net and email distribution lists.
Continuously update reception “How To” binder
Support administrative duties when requested such as but not limited to: data entry, ordering of supplies, and preparing customer paperwork.
Minimum Qualifications / Other Expectations:- High School Diploma or equivalent work experience
- 1 year experience in a receptionist or administrative assistant environment; customer service experience preferred.
- Work is supervised based on achievement of tasks, goals and assigned projects. Work is reviewed for good use of judgment as well as overall quantity, quality and efficiency. Direction is provided by a Sr. Administrative Asst. or Executive Asst. in terms of tasks and objectives. Work is reviewed upon completion on how well objectives have been met.
- Valid driver’s license and valid vehicle insurance.
- Ability to communicate clearly and effectively in English, both verbally and in writing.
- Regular, consistent and timely attendance required.
- Knowledge of Google Suite.
