Job Description

The Office Administrator will serve as the first point of contact for visitors and provide essential administrative and operational support to the office. This individual will help maintain an organized, professional workspace while coordinating office supplies, deliveries, vendors, meetings, and employee events. The role will also provide general administrative assistance to various departments and occasional backup support to executive administration.

Key Responsibilities
  • Welcome visitors, guests, and vendors while providing a friendly and professional first impression.
  • Answer incoming phone calls, direct inquiries, and communicate messages to the appropriate team members.
  • Manage incoming mail and packages, coordinate outgoing shipments, and assist with delivery logistics.
  • Maintain an organized, clean, and professional reception area and shared office spaces.
  • Monitor office, kitchen, and conference room supplies and coordinate ordering and restocking.
  • Prepare conference rooms for meetings and arrange catering and refreshments as needed.
  • Assist with planning and coordinating company events, employee celebrations, and team gatherings.
  • Communicate with outside vendors and building management to coordinate office services, maintenance, and facility needs.
  • Assist with employee office access, key fobs, and related administrative requests.
  • Provide general administrative support, including data entry, filing, scanning, copying, and document preparation.
  • Offer backup administrative assistance to executive support staff when needed.
  • Identify opportunities to improve office organization and the overall employee experience.
  • Assist with additional administrative and operational tasks as needed.
Qualifications
  • At least one year of professional experience in an administrative, receptionist, office support, operations, or customer service role.
  • Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
  • Strong customer service skills and a genuine enjoyment of working with people.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask, prioritize responsibilities, and manage competing deadlines.
  • A proactive, solutions-oriented mindset with the ability to work independently.
  • Adaptability and a willingness to assist with a variety of office needs.
  • Professional demeanor and the ability to handle confidential information appropriately.
  • Ability to collaborate effectively with colleagues across multiple departments.
  • High school diploma or equivalent required; additional education or relevant certifications preferred.
  • Experience with multi-line phone systems, scheduling tools, and general office equipment is a plus.
