Contracts Administrator
Position Summary The Contracts Administrator is responsible for managing contracts of moderate scope and complexity to ensure compliance, performance, and fulfillment of contractual obligations. This role supports the full contract lifecycle including proposal development, negotiation, order management, and contract execution , while serving as a key liaison between internal teams and customers.
Key Responsibilities
Contract Administration & Compliance
- Administer contracts by analyzing:
- Performance requirements
- Customer purchase orders
- Delivery schedules, pricing, and terms
- Ensure compliance with contractual terms, company policies, and regulatory requirements
- Monitor contract performance and identify need for amendments or extensions
- Determine when customer-directed changes fall outside contract scope
- Develop compliant proposal packages in response to customer requirements
- Evaluate:
- Performance requirements
- Delivery schedules
- Cost estimates (materials, labor, equipment)
- Lead and coordinate RFP/RFQ responses across cross-functional teams
- Prepare and submit proposals in alignment with company procedures
- Negotiate pricing, terms and conditions, and delivery schedules
- Ensure agreements align with company and legal guidelines
- Serve as primary point of contact for customers on assigned contracts
- Participate in customer meetings and presentations
- Manage order-related activities including:
- Order entry
- Schedule changes
- Portal management
- Support creation of Demand Plans as part of Sales & Operations Planning (S&OP)
- Review and analyze purchase orders and contract terms
- Communicate with customers regarding order and contract status
- Investigate and resolve claims, disputes, or complaints
- Collaborate with internal teams on:
- Technical issues
- Quality concerns
- Data requirements
- Monitor financial performance of contracts
- Support export compliance requirements and related actions
- Ensure adherence to federal, state, and aerospace industry regulations
- Apply lean principles to improve processes and standard work
- Maintain current knowledge of contract management practices
- Participate in professional organizations such as:
- National Contract Management Association
- International Association of Commercial Contract Management
Education
- Bachelor's degree in Business Administration or related field
- Contract management certification preferred:
- NCMA or IACCM
- 2+ years of experience in:
- Contract administration
- Commercial or government contracting
- Related field
- Understanding of:
- Contract administration principles
- Industry regulations and policies
- Export control and compliance requirements
- Ability to:
- Interpret moderately complex contract terms and conditions
- Analyze policies and recommend process improvements
- Negotiate pricing and contract terms effectively
- Manage multiple priorities and meet deadlines
- Proficient in:
- Standard business software applications
- ERP and customer systems
- Strong analytical and problem-solving skills
- Effective communication and presentation abilities
- Customer-facing professionalism
- Ability to collaborate across cross-functional teams
- Detail-oriented with strong organizational skills
