Assistant General Manager

The Assistant General Manager serves as the on-site operational leader for the residential community, supporting the General Manager in the overall management of community operations. This role is responsible for planning and overseeing large scale community events, overseeing day-to-day operational needs, property compliance, and homeowner relations to help ensure the community is maintained in accordance with Association standards and governing documents.

The Assistant General Manager exercises independent judgment and discretion in evaluating operational concerns, prioritizing community needs, overseeing vendors and projects, interpreting and applying Association standards and policies, and making operational recommendations to leadership and the Board of Directors. This role is expected to independently analyze issues, determine appropriate courses of action, and manage operational matters with limited supervision.

Compensation: $87,

First Service Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

Events Coordination

  • Possess a passion for creating inclusive, welcoming environments where residents feel valued and connected.
  • Spearhead the development and execution of a comprehensive calendar of 50-60 events and activities per year that cater to the diverse interests and preferences of community residents while working in conjunction with a volunteer social committee. Events ranging from small gatherings to large-scale community events.
  • Collaborate with internal teams, association vendors and social committee.
  • Provide support to the Social Committee by preparing meeting packets and reports, as well as reports to the Board of Directors for approval.
  • Coordinate logistics for events, including scheduling, vendor management, budgeting, and securing necessary permits or approvals. Oversee all Community sponsored recreation and social events.
  • Manage the activities calendar and schedule the use of the facilities to prevent scheduling conflicts.
  • Promote community events and initiatives through various channels, including community calendar, newsletter, bulletin boards, and onsite signage.
  • Oversee completion of and timely processing of facility rental applications to ensure accuracy and compliance with community regulations. Obtain all required documentation (rental agreement, COI, guest list, payment, etc.) prior to the start of the event. Work with owner or resident to ensure that the event process is smooth.
  • Perform all pre and post inspections for private and community events. Promptly refund deposits for private events.
  • Maintain accurate records of event attendance, feedback, and expenses to evaluate effectiveness and make data-driven decisions for future programming.
  • Annually in conjunction with the preparation of the Annual Association Operating Budget, propose an Events Budget to the Board for approval.

Vendor & Project Management

  • Manage vendor relationships and independently evaluate work quality, contract compliance, project timelines, and operational performance.
  • Participate in the RFP and bid evaluation process and provide operational recommendations to leadership and the Board.
  • Assist with maintenance and capital improvement projects as assigned.

Board & Community Relations:

  • Respond to homeowner concerns and communications in a professional, timely, and solutions-oriented manner while maintaining positive relationships with homeowners, Board members, vendors, and internal departments.
  • Prepare Board meeting materials, operational reports, Board updates, and community communications, including e-blasts, newsletters, and membership notices, in partnership with the Senior Community Manager.
  • Attend Board meetings and provide updates, recommendations, and follow-up regarding operational matters, community concerns, and assigned projects, including timely escalation of urgent or sensitive matters requiring Board awareness, guidance, or approval.

Compliance & Architectural Oversight

  • Maintain working knowledge of Association governing documents, rules, architectural standards, and operational policies to support consistent community operations and compliance efforts.
