Operations Support Coordinator
Department: Operations Support
- Contracts
Location: Hybrid
- Irvine, CA
Schedule: Mon–Thu 9:00 AM–6:00 PM;
Fri 10:00 AM–7:00 PM
Type: Full-Time, Non-Exempt
Why EPD
Contracts at EPD sit at the center of everything - a proposal doesn't go out, a sub doesn't start work, and a change order doesn't get paid until this function does its job well. You'll work directly with project managers, clients, and sub-consultants from your first week, with a manager who teaches the why behind each workflow rather than handing you a checklist.
This is a role where catching a fee error before it reaches a client is genuinely valued, and where asking questions is expected, not tolerated.
Critical Outcomes (First 6–12 Months)
- Routine client and sub-consultant contracts move from request to full execution without project manager follow-up
- Proposals and change orders leave EPD error free (no fee, scope, or formatting corrections raised by the client)
- No contract or certificate of insurance lapses; renewals surfaced to the team at least 30 days ahead
- Contract records are audit-ready by month nine: every active agreement current, executed, and correctly logged in the system
Key Responsibilities
Contracts & Proposals
- Prepare, route, track, and close out client and sub-consultant contracts, amendments, and change orders
- Run quality assurance reviews on proposals and change orders before client delivery, verifying fees, scope, and formatting
- Monitor upcoming contract expirations and certificate of insurance renewals, and flag them early
- Maintain contract records and system data, running periodic audits to keep information complete and current
Coordination & Team Support
- Learn EPD's contract workflows and systems, then recommend efficiency improvements as your familiarity grows
- Communicate clearly and professionally with project managers, clients, and sub-consultants
- Provide backup coverage for Office Services in the Irvine office as needed - mail and deliveries, supply levels, company events, conference room, and common area setup
- Perform additional duties as needed to support company objectives

Required
- 0–2 years of professional experience, or equivalent combination of education and experience
- Demonstrated ability to pick up new tools, systems, and processes quickly

- Clear written and verbal communication with internal and external stakeholders
- Intermediate proficiency in Microsoft Word, Excel, and Power Point
- Comfortable working independently and collaboratively in a hybrid setting

- Experience with e-signature platforms such as Docu Sign

This role is built as a starting point, not a dead end - the contracts lifecycle is one of the clearest windows into how a consulting firm actually operates.
