We are seeking a highly organized, creative, and proactive professional to work directly with the CEO, supporting the planning, design, sales, and execution of events. This role is ideal for someone who enjoys combining creativity with organization and is excited to be involved in every phase of an event—from the initial client consultation to the final teardown.
The Event Sales & Graphic Design Coordinator will serve as the CEO's primary support for assigned events, assisting with client communications, proposals, graphic design, venue walkthroughs, vendor coordination, event logistics, and on-site production.
Responsibilities Executive & Event Support- Work directly with the CEO on assigned events from concept through completion
- Attend client meetings, design consultations, and venue walkthroughs with the CEO
- Assist the CEO in preparing proposals, presentations, reports, budgets, and event documentation
- Follow up on action items, client requests, and project timelines
- Research products, pricing, vendors, and event trends
- Help manage multiple projects while ensuring deadlines are met
- Assist with client consultations and event planning
- Prepare customized proposals and quotations
- Create event layouts and floor plans based on venue measurements
- Attend site visits to measure event spaces and evaluate logistics
- Coordinate with venues and vendors to ensure smooth event execution
- Assist in developing production schedules and installation plans
- Design event mockups, mood boards, and client presentations
- Create custom signage, menus, seating charts, welcome signs, and printed materials
- Design marketing materials and social media graphics as needed
- Prepare artwork for production and printing
- Assist with event setup, styling, installation, and décor placement
- Help oversee event execution alongside the CEO
- Assist with event breakdown and load-out
- Ensure all event details meet the company's quality standards and the client's expectations

This individual has a passion for design, sales, branding, and event production and is excited to support the CEO from the initial client consultation through event execution and breakdown.
QualificationsRequired Qualifications
- Minimum of 2 years of experience in event planning, event sales, graphic design, hospitality, executive support, or a related field.
- Strong creative vision and design acumen with the ability to conceptualize and execute unique event experiences, custom graphics, and cohesive event branding.
- Demonstrated experience creating custom event graphics, event layouts, design proposals, signage, invitations, seating charts, presentations, marketing materials, and branded collateral.
- Advanced proficiency in
Adobe Creative Suite
(Illustrator, Photoshop, and InDesign). - Proficiency in
Canva
for creating presentations, marketing materials, social media content, and client proposals. - Experience using
CRM software
to manage leads, client communications, sales opportunities, and project follow-up. - Excellent written, verbal, and interpersonal communication skills.
- Exceptional organizational, project management, and time-management skills with the ability to manage multiple deadlines simultaneously
- Strong attention to detail with excellent problem-solving and decision-making abilities
- Comfortable working directly with executive leadership while maintaining professionalism, discretion, and confidentiality
- Professional appearance and demeanor with outstanding customer service skills
- Ability to confidently interact with clients, venues, vendors, and business partners
- Must have reliable transportation and the ability to commute to the office, client meetings, venue walkthroughs, and event locations throughout Southern California
- Ability to work a flexible schedule, including evenings, weekends, holidays, and regular overtime based on business and event needs
