Position Overview
The Department of Materials Science and Engineering (MSE) at UC Irvine is hiring an Academic Graduate Coordinator. The position may be classified as either Academic Graduate Coordinator or Senior Academic Graduate Coordinator, depending on qualifications. The Coordinator reports to the Chief Administrative Officer and will manage student services at the department level.
Responsibilities- Provide student advising and resolve student‑services related issues across the graduate program.
- Oversee administrative and co‑curricular aspects of program management, student affairs, and delivery of services.
- Administer grants, funds, and student‑program budgets.
- Develop and maintain social media goals and collaborate with leadership on communications.
- Coordinate student recruitment, admissions, orientation, and advising, including financial support and fellowship opportunities.
- Ensure compliance with university policies, FERPA, immigration regulations, and accreditation requirements (ABET, WASC).
- Supervise coordination of seminars and special projects, and assist with commencement activities.
- Serve as point of contact for faculty, staff, and students on graduate‑student matters.
- Experience with graduate databases (e.g., SLATE), fellowship systems, and engineering student databases.
- Understanding of university rules and regulations and confidentiality requirements.
- Strong interpersonal, written, and oral communication skills.
- Proficiency with Microsoft Office, Adobe Acrobat, and web/content management tools.
- Knowledge of student admission processes, tuition, tutoring, academic support, FERPA, and insurance guidelines.
- Experience with financial analysis, budgeting, and reporting for student programs.
- Ability to work with faculty and staff on program policies, risk assessment, and performance improvement.
- Bachelor’s degree or equivalent experience/training in a related area.
- Four to six years of graduate student advising experience at the MS/PhD level.
- Experience with multiple student funding sources and financial aid packages.

Salary RangeAcademic Graduate Coordinator (non‑exempt): $26.53 – $31.13 per hour.
Senior Academic Graduate Coordinator (exempt): $5,025 – $5,933 per month.
