Founded in 1965, the Samueli School of Engineering educates more than 4,600 students (3,728 undergraduates and 961 graduates) with an integrative approach that blends fundamentals, research and hands-on experience. The School's aim is to unleash innovation, create opportunities and inspire ingenuity. The School's faculty members are leaders in their disciplines who have achieved worldwide recognition for their research and dedicated teaching.
The School includes six academic departments. Under the leadership of the Dean, the School pursues research that is timely, socially responsible and cutting edge, and works in partnership with industry, state, and federal agencies to promote the transfer of research to applications that benefit society. The Samueli School of Engineering (SSoE) offers a broad range of graduate programs, that lead to Doctor of Philosophy (Ph.D.) and Master of Science (M.S.) degrees, as well as graduate professional master's degrees.
The school has currently approx. 1000 enrolled graduate students, half of them in Ph.D. and half in Master's and professional programs, trained with an integrative approach that blends fundamentals, research and hands-on experience. The school's aim is to educate and train the next generation of global engineering innovators, unleash innovation, and create opportunities. The Office of Graduate Student Affairs (GSA) serves prospective and current graduate students with the Samueli School of Engineering.
Our office works closely with all departments and programs in the school, as well as with the Graduate Division. We provide services including: recruitment and admission, general counseling and advice, graduate funding including fellowships, career development, graduation and conferral of degrees. The office serves as the final school-wide stop for approval of petitions, advancement to candidacy, degree conferrals and other academic processes.
Responsibilities
Under the supervision of the Graduate Programs Director, the Office Analyst provides the general administrative support for the office of Graduate and Professional Studies (GPS) and the Associate Dean. The position is instrumental in administratively supporting student services to current students (e.g. internships, fellowships, commencement, implementing funding packages) as well as prospective students (e.g., admissions). The Office Analyst is responsible for updating and maintaining the GPS online website, for questions and inquiries addressed to GPS, and for communications with graduate students, faculty and all stakeholders.
Supports GPS with general financial responsibilities such as tracking financial commitments by GPS, matching financial packages; interfacing with Dean's Office finance for account and funding reconciliation; tracking funding sources, expenditures and balances. Provides data tracking and analysis services for GPS including but not limited to: maintaining records, pulling data from multiple data sources (pertaining to financials, student enrollment, program rankings, academic metrics and analytics), and helping with preparing reports.
Coordinates GPS meetings and events from concept to administration and evaluation, including handling venues, catering, preparation of materials, flyers, commencement, marketing communications. Supports GPS through overall organization electronic and physical files, drives, as well as office needs, purchasing and reimbursement.

* Working knowledge of common organization-specific and other computer application programs.

* Demonstrate flexibility, patience, and tact/diplomacy. Strong ability to interact and communicate with a diverse population with varying cultural and communication styles.
