Accounts Receivable Specialist

We're is looking for a Chargeback and Accounts Receivable Specialist to help protect our revenue, ensure accurate collections, and keep our cash flow healthy. The ideal candidate will have knowledge of the factoring process and partnering with banks. Primary responsibility will be managing the chargebacks and accounts receivable, posting and reconciling customer payments, and approved credit memos.

This role sits at the intersection of Finance, Sales, Operations, and Compliance. You’ll take ownership of the chargeback process - researching, disputing, resolving, and preventing deductions from retailers - while also managing accounts receivable to keep customer balances clean and current. We’re looking for someone detail-oriented, analytical, and proactive—someone who doesn’t just “manage” chargebacks, but actively prevents them through process improvements and cross-team alignment.

• Review, research, and resolve chargebacks/deductions from major retailers.
• Dispute invalid chargebacks with supporting documentation to recover funds.
• Track and report chargeback trends to identify root causes and recommend solutions.
• Accounts Receivable
• Monitor customer accounts to ensure timely payments and resolve payment discrepancies.
• Apply cash receipts accurately to customer accounts.
• Communicate with customer AP departments to resolve outstanding issues.
• Cross-Functional Collaboration
• Partner with Sales, Operations, and Logistics teams to resolve root causes of chargebacks (e.g., shipping, labeling, compliance issues).
• Work with Finance leadership to recommend preventative measures and process improvements.
• Reporting & Analysis
• Maintain detailed records of all chargebacks, disputes, and resolutions.
• Prepare regular reporting for management on AR aging, deduction trends, and recovery rates.
• Support audits and compliance initiatives related to accounts receivable.

• Monitor customer chargebacks and deductions and file claims when applicable
• Identify delinquent accounts and insufficient payments by working closely with factor
• Post all daily cash receipts
• Process all credit card payments for house accounts
• Reconcile and match daily batches processed from ERP system
• Reconcile transaction with statements
• Process customer credit/debit memos
• Assist controller with special projects as needed

• 5+ years of relevant experience, ideally in the retail/apparel/consumer goods industry
• Must be familiar with factoring process
• Familiarity with retail vendor compliance requirements preferred
• Strong written and verbal communication skills
• Excellent organizational skills and attention to detail—able to manage high transaction volumes without dropping balls.
• Strong independent research ability
• Knowledge of Full Circle (ERP) system is a plus
