Better Business Bureau is opening a brand-new ignite space sparked by BBB meetings, coworking, and an event space in Irvine, CA, and we are looking for the person who will help bring it to life!
This is a unique opportunity for a hospitality-minded, highly organized, community-connected professional who wants to take ownership of a brand-new space from the ground up.
The Office & Guest Experience Manager will oversee the day-to-day operation and growth of ignite sparked by BBB Orange County, a new meeting and event destination featuring four meeting rooms, a podcast studio, and a flexible event space designed to serve small business owners, Accredited Businesses, professionals, nonprofits, community organizations, and the broader Orange County business community.
We are especially interested in candidates with experience managing a coworking space, flexible workspace, executive office center, shared office environment, meeting center, hospitality-driven workplace, or similar professional space.
You will ensure guests have an exceptional experience, meetings and events run seamlessly, technology works, rooms are ready, reservations are managed, clients return, and new organizations continue discovering the space.
You will also play an important role in building ignite sparked by BBB's presence in Orange County by developing relationships, conducting outreach, attending community events, generating new meeting and event opportunities, and helping turn the space into a destination people want to use again and again.
What you'll own:Operations & Guest Experience
- Oversee the daily operation, appearance, readiness, and guest experience of the Irvine location.
- Manage reservations, scheduling, payments, tours, room preparation, and client communication.
- Ensure meeting rooms, podcast studio, event space, and common areas are consistently polished, stocked, and ready for guests.
- Coordinate vendors, supplies, maintenance, janitorial needs, catering, deliveries, and day-to-day facility needs.
- Create and maintain clear operational procedures for opening, closing, reservations, events, technology, and guest service.
- Professionally assist walk-in consumers and businesses with complaints or concerns, including de-escalation and appropriate routing when needed.
- Coordinate meetings and events from initial reservation through final room reset.
- Manage layouts, setup, catering, signage, AV, technology, supplies, and guest flow.
- Serve as the first point of contact for basic Wi-Fi, AV, conferencing, presentation, and podcast studio troubleshooting.
- Anticipate what guests and event organizers need before they have to ask.
- Drive meeting and event reservations, repeat business, and overall utilization of the space.
- Work toward established meeting and event space utilization and booking goals.
- Turn tours, inquiries, referrals, outreach, and community relationships into bookings and repeat clients.
- Build and maintain a pipeline of prospective businesses, nonprofits, professionals, organizations, community partners, and event clients.
- Follow up consistently with leads, inquiries, previous guests, and community contacts.
- Identify opportunities to increase awareness and utilization of the meeting rooms, podcast studio, and event space.
- Track bookings, utilization, leads, tours, and client activity and recommend opportunities for continued growth.
- Proactively identify new audiences, organizations, and opportunities that can bring people into the space.
- Build relationships throughout the Orange County small business, nonprofit, professional, and broader business community.
