The Human Resources Coordinator provides administrative and operational support to the Human Resources Department at Oso Home Care, Inc., a specialty home infusion organization providing pharmacy, nursing, and infusion-related services.
This position supports day-to-day HR functions including personnel record maintenance, employee training tracking, performance review administration, leave documentation, recruiting and onboarding, payroll support, and general HR compliance activities.
The Human Resources Coordinator works closely with Human Resources, Finance, managers, supervisors, and employees to ensure required documentation is accurate, complete, confidential, and processed timely. The position requires strong organization, attention to detail, follow-through, discretion, and the ability to manage multiple deadlines in a healthcare environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Maintain accurate, complete, organized, and confidential employee personnel records in accordance with company policies and applicable requirements.
- Conduct routine personnel file audits to identify missing, incomplete, or expired documentation and follow up as necessary.
- Maintain HR tracking logs, spreadsheets, and other administrative records.
- Assist with processing and documenting employee status changes, including changes in position, department, supervisor, compensation, employment status, and other personnel actions.
- Ensure HR documents are appropriately filed and maintained.
- Maintain confidentiality of employee and company information at all times.
- Track required employee orientation, annual training, in-services, certifications, and other required education or compliance documentation.
- Monitor training completion deadlines and follow up with employees and managers regarding outstanding requirements.
- Maintain accurate training records and documentation for employee files.
- Assist HR with preparing employee documentation and records for internal audits, accreditation activities, or other compliance reviews as requested.
- Maintain the performance review tracking system and monitor upcoming and overdue employee evaluations.
- Notify and follow up with managers regarding performance reviews that are due or outstanding.
- Assist with distributing, collecting, tracking, and filing completed performance review documentation.
- Maintain accurate records of completed and outstanding evaluations.
- Provide administrative support for employee leaves of absence under the direction of Human Resources.
- Track required leave paperwork, certification deadlines, extensions, and anticipated return-to-work dates.
- Follow up with employees regarding outstanding documentation as directed.
- Assist with obtaining and maintaining return-to-work documentation and other required records.
- Maintain organized and confidential leave files and tracking logs.
- Provide administrative support throughout the recruiting and hiring process.
- Assist with candidate communication, interview coordination, reference checks, and pre-employment documentation.
- Collect and track required new-hire documentation prior to and during onboarding.
- Assist with coordinating new-hire orientation and communicating with managers and other departments regarding employee start dates.
- Review onboarding documentation for completeness and follow up regarding missing items.
- Assist with ensuring new employees complete required orientation, training, acknowledgments, and other onboarding requirements.
- Support routine payroll-related administrative functions as assigned.
- Serve as a backup to the payroll processor as needed to help support timely and accurate payroll processing.
- Assist with maintaining payroll-related employee information, documentation, and personnel changes.
- Assist with reviewing and collecting payroll-related documentation and employee information.
- Coordinate with Human Resources, Finance, managers, supervisors, and employees regarding routine payroll information and documentation needs.
