Overview

Are you a seasoned legal administrative professional ready for a new challenge? We’re looking for a Legal Secretary who can deliver proactive, detail‑driven support to a team of attorneys in a busy, collaborative practice. This position offers a hybrid schedule with three in‑office days each week in Irvine, CA
.

What You’ll Do
  • Serve as a key support partner to multiple attorneys, coordinating calendars, managing billing tasks, and helping ensure smooth day‑to‑day operations.
  • Prepare and route clear, accurate instructions and documentation for internal resource teams.
  • Communicate regularly with case teams to streamline requests and avoid duplicate work.
  • Track, confirm, and communicate court and agency deadlines, escalating matters to attorneys when needed.
  • Open, update, and maintain matters in the firm’s document management systems.
  • Draft, edit, and finalize Tables of Contents (TOCs) and Tables of Authorities (TOAs).
  • Handle document filing and e‑filing in accordance with court and agency requirements.
  • Maintain attorney contact lists and support client‑facing communications as needed.
  • Record and submit daily task logs and assist with reviewing client pre‑bills.
  • Coordinate transcription requests and oversee printing, formatting, and assembling of legal documents.
What You Bring
  • At least 5 years of legal administrative experience; labor & employment experience is preferred.
  • Exceptional organizational skills with the ability to shift priorities and anticipate attorney needs.
  • Strong communication and time‑management capabilities.
  • In‑depth familiarity with legal terminology, court procedures, and e‑filing processes.
  • Advanced proficiency in Microsoft Office, Outlook, Adobe, and document management systems.
  • Experience with tools such as Best Authority and Big Hand Create is highly valued.
