Overview
Are you a seasoned legal administrative professional ready for a new challenge? We’re looking for a Legal Secretary who can deliver proactive, detail‑driven support to a team of attorneys in a busy, collaborative practice. This position offers a hybrid schedule with three in‑office days each week in Irvine, CA
.
- Serve as a key support partner to multiple attorneys, coordinating calendars, managing billing tasks, and helping ensure smooth day‑to‑day operations.
- Prepare and route clear, accurate instructions and documentation for internal resource teams.
- Communicate regularly with case teams to streamline requests and avoid duplicate work.
- Track, confirm, and communicate court and agency deadlines, escalating matters to attorneys when needed.
- Open, update, and maintain matters in the firm’s document management systems.
- Draft, edit, and finalize Tables of Contents (TOCs) and Tables of Authorities (TOAs).
- Handle document filing and e‑filing in accordance with court and agency requirements.
- Maintain attorney contact lists and support client‑facing communications as needed.
- Record and submit daily task logs and assist with reviewing client pre‑bills.
- Coordinate transcription requests and oversee printing, formatting, and assembling of legal documents.
- At least 5 years of legal administrative experience; labor & employment experience is preferred.
- Exceptional organizational skills with the ability to shift priorities and anticipate attorney needs.
- Strong communication and time‑management capabilities.
- In‑depth familiarity with legal terminology, court procedures, and e‑filing processes.
- Advanced proficiency in Microsoft Office, Outlook, Adobe, and document management systems.
- Experience with tools such as Best Authority and Big Hand Create is highly valued.
